Portfolio Administrator
Qualifications:
- NQF 4 or working towards completing your NQF 4
- At least 2 years of experience in a similar position
- Experience with rentals
- Experience with PayProp
- Great administrative skills
- Excellent communication skills and telephone etiquette
Duties and Responsibilities:
- Obtaining monthly levy and rates accounts from municipalities and property managers
- Drafting of lease documentation
- Loading of tenants, owners, properties, etc. on PayProp
- Invoicing water accounts on PayProp and/or any other additional fees payable by tenants
- Creating payments on PayProp for maintenance, levies, rates, and/or any other fees payable
- Filing
- Debit Orders
- Updating rental agents on lease expire, notices to vacate and new tenants taking occupation
- Sending Welcome Letters to new tenants
- Sending Vacating Checklist to tenants leaving
- Phoning tenants for non-payment and reporting back to investors
- Letters of demand and notices to vacate
- Evictions liaison between attorney and investor
- Mail shots to tenants (notices from property managers)
- Registration of cell-to-gate with the property managers
- Lease period extension and negotiations applicable
- Investors monthly reconciliations
- Liaising with clients
- Rental assist recon s and payments
- MooiRivier (Tenrisk), Xpello and Rent Guaranteed claims and record keeping
- Deposit Refunds
- Reconciling Payments
- Updating agents stock list daily
- Attending AGM s on behalf of investors
- Warning letters
- Hand-in-hand work with maintenance department
- Ad hoc duties if required
2+ years of bookkeeping experience. Ability to communicate effectively and have excellent relational skills. Ability to perform calculations and prepare detailed reports. Computer skills, including the ability to operate computerized accounting, spreadsheets and word-processing programs. Valid driver's license and own vehicle available during working hours. Knowledge on Xero and Caseware is beneficial
