Job Role: To perform personal assistant duties for the Performance Improvement (PI) Senior Management team as well as provide general administrative support to the PI Division.
Roles and Responsibilities:
Personal Assistant Duties:
Diary and timesheet management for the Director, Associate Director and Senior Managers (X2) for the PI Division
Assist the Director - PI with all PPP Targets and Partner responsibilities
Perform ad hoc requests and general administrative support to the Director, Associate Director and Senior Managers (X2) for the PI Division
Schedule and coordinate client meetings including organising venues and catering, drafting meeting agendas, taking and issuing minutes and maintaining attendance registers
Handle/screen calls and take accurate messages
Draft correspondence General Administrative Support:
Provide support to PI project teams with project administration and general queries
Schedule and co-ordinate PI internal meetings
Schedule and coordinate quarterly social events for PI Division including arranging venues and catering Arrange and coordinate all travel requests for the PI Division
Assist with document formatting, including presentations, reports and proposals
Ensure that strong room archiving is up to date
Ensure that filing is up to date
Assist project teams with managing electronic (MAP) files
Be responsible for projector bookings
Producing invoices
Assist with bid office duties / business development
Coordinate submission of tenders and proposals
Assist with administration related to risk management (independent checks etc)
Assist with knowledge management (databases such as Retain, Match and Sales Funnel)
Qualifications:
Grade 12 / Matric is essential
Secretarial / Administration Diploma preferable
Drivers license preferable
Experience: 2-3 years experience in a personal assistant or administrative role
