We are seeking a proactive and organized Remote Administrative Assistant to support our team with various administrative tasks. The ideal candidate will be capable of handling multiple responsibilities working independently and maintaining efficiency in a remote work environment. This is a remote position and the candidate must have strong communication skills and proficiency in remote collaboration tools.

Responsibilities:

  1. Calendar Management: Schedule meetings appointments and events for team members ensuring effective time management and coordination.
  2. Email Correspondence: Manage and respond to email inquiries prioritize messages and handle routine correspondence on behalf of the team.
  3. Document Preparation: Draft edit and format documents presentations reports and spreadsheets as needed ensuring accuracy and professionalism.
  4. Data Entry and Organization: Input and maintain data in spreadsheets databases and online platforms organizing information for easy access and retrieval.
  5. File Management: Organize electronic files folders and documents systematically ensuring proper labeling version control and security protocols.
  6. Virtual Meeting Support: Set up and coordinate virtual meetings video conferences and webinars using online conferencing platforms such as Zoom Microsoft Teams or Google Meet.
  7. Travel Arrangements: Assist with travel bookings accommodations itineraries and expense reporting for team members as required.
  8. Administrative Support: Provide general administrative support including answering phone calls managing office supplies processing mail and handling other adhoc tasks.
  9. Project Coordination: Support project teams with administrative tasks such as meeting coordination document distribution and progress tracking.
  10. Communication Liaison: Serve as a point of contact between internal teams external stakeholders clients and vendors facilitating communication and information exchange.

Requirements:

  • Proven experience as an Administrative Assistant Virtual Assistant or similar role.
  • Excellent communication skills both written and verbal.
  • Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook) and G Suite (Google Docs Sheets Slides Gmail).
  • Strong organizational skills and attention to detail.
  • Ability to prioritize tasks meet deadlines and work efficiently in a remote environment.
  • Familiarity with remote collaboration tools such as video conferencing project management and filesharing platforms.
  • High school diploma or equivalent; additional certification or training in office administration is a plus.
