Job Description

  • Updates and maintains clinical research systems within project timelines.
  • Prepares, handles, distributes, files, and archives clinical documentation and reports.
  • Reviews study files for accuracy and completeness periodically on the basis of criteria provided.
  • Prepares, handles and distributes clinical research supplies and maintains tracking information.
  • Performs administrative tasks to support team members with good clinical practice conduct, as needed.
  • Assists the project team with preparation of clinical study documentation.
  • Develops and maintains the study specific investigator databases and manages inventories for clinical research studies.
  • Updates and maintains study tracking systems in accordance with the demands of the studies.
  • Facilitates the study documents printing/scanning processes.
  • Plans and organizes all logistics arrangements including liaison with Research administration, other faculties and other Divisions at WCM-Q for research support purposes.
  • Processes, reviews, logs and monitors completion of expense claim reimbursement forms and creation of shopping carts as directed related to CRS Core ensuring compliance with WCM-Q financial policies and procedures.
  • Reviews, coordinates and maintains a log of the payment of invoices and reimbursement of expenses and other budgetary needs.
  • Assists with the arrangements and operational coordination of events and activities relating to the CRS Core.
  • Manages, screens, logs and prioritizes all incoming correspondences.
  • Maintains/schedules appointments, conference calls, office files and the electronic calendars.
  • Manages the stock for office supplies/ stationery, photocopies, faxes and other consumables and places orders for replenishment as needed.
  • Liaises with the CRS Core internal and external stakeholders as required.
  • Provides word processing, spreadsheet and presentation services including drafting correspondence, typing and formatting of word and excel documents for reports, manuscripts, research proposals and other publications.
  • Compiles and disseminates materials for related meetings. Records and transcribe minutes and monitors follow up actions points.
  • Responds to enquiries for CRS Core services and provide information based on own knowledge or re-directs inquiry to other staff as appropriate.
  • Updates website and intranet materials when required.
