Get to Know the Role
You will provide comprehensive administrative support to an Executive from our leadership team.
This role will be onsite at Grab office.
The Critical Tasks You Will Perform
You will:
- Manage and organize a busy calendar of appointments resolving scheduling conflicts.
- Prepare and submit expense reports accurately and promptly.
- Compose and handle confidential correspondence.
- Arrange complex travel plans including itineraries and agendas and compile necessary documents for travelrelated meetings.
- Coordinate the Executives travel schedules ensuring all bookings are aligned.
- Communicate with internal and external stakeholders on behalf of the Executive.
- Research prioritise and follow up on issues and concerns determining the appropriate response.
- Facilitate communication between the Executives office and internal departments.
- Keep the Executive informed of upcoming commitments and responsibilities.
- Build and maintain essential relationships managing communications diplomatically.
- Complete critical tasks such as drafting acknowledgment letters and personal correspondence.
- Prioritise conflicting needs on projects to successful completion often under deadline pressures.
Qualifications :
Essential Skills You Will Need
- Calendar Management: Experience in managing complex calendars and resolving scheduling conflicts.
- Expense Reporting: Proficiency in preparing and submitting accurate expense reports.
- Confidential Correspondence: Ability to handle confidential correspondence with privacy.
- Travel Coordination: Expertise in arranging detailed travel plans and compiling necessary documents.
- Stakeholder Communication: Experience in navigating communications across stakeholders on behalf of the Senior Executive.
- Prioritization: Skill in researching and addressing incoming issues to determine appropriate responses.
- Interdepartmental Coordination: Capability to facilitate communication between departments.
- Executive Support: Experience in keeping senior executives informed and prepared for commitments.
