Job Description

Job Title: Administrative Assistant

Location: Remote (Ability to work within specified time zones as needed)

Work Schedule: Flexible based on employers needs typically Monday to Friday.

Position Overview

We are seeking a highly organized and proactive Administrative Assistant to support daily operations executive functions and team coordination. This role requires strong multitasking abilities attention to detail and excellent communication skills. The ideal candidate thrives in fastpaced environments manages competing priorities effectively and ensures seamless administrative processes.

Key Responsibilities

  • Administrative & Executive Support
    • Manage calendars schedule meetings and coordinate travel arrangements.

    • Handle email inboxes draft correspondence and facilitate professional communication.

    • Set up and process eSignature documents ensuring completion and accuracy.

    • Maintain organized records databases and document management systems.

    • Assist with expense tracking invoicing and basic financial reporting.

  • Project & Operations Support
    • Support process improvement efforts to enhance efficiency.

    • Assist in coordinating between teams or departments to ensure smooth workflow.

    • Organize team events offsites and special projects as needed.

    • Research and compile data for reports presentations or operational decisions.

  • Communication & Collaboration
    • Act as a liaison between executives teams and external stakeholders.

    • Maintain professional clear and timely communication across multiple channels.

    • Ensure followups are completed on time and key tasks are addressed.

Qualifications

  • Previous experience in administrative support or operations.

  • Strong organizational and timemanagement skills.

  • Proficiency in Google Workspace (Docs Sheets Calendar Drive) and Microsoft Office (Word Excel Outlook).

  • Excellent verbal and written English communication skills.

  • Ability to prioritize tasks take initiative and work independently.

  • Strong attention to detail problemsolving skills and adaptability.

Nice to Haves

  • Experience with project management tools (Asana Trello Monday.com).

  • Knowledge of basic financial tracking invoicing or budget management (QuickBooks Xero).

  • Background in customer service real estate finance tech legal or healthcare industries.

  • Experience in remote work environments and collaborating across multiple time zones.
