JASARA PMC is looking for a proactive and detail-oriented Project Requests and Resource Planning Specialist to join our dynamic team. In this role, you will be responsible for for the analysis of project requests and resource capability and capacity assessment across Facilities & Engineering.
Resource Forecasting and Allocation
Resource Demand Forecasting: Analyze project requirements and predict the resource needs (human, equipment, materials) for current and future projects, based on project timelines and scope.
Resource Allocation: Allocate resources based on project needs and timelines, ensuring that adequate resources are available when required.
Prioritization: Prioritize resource allocation to critical projects or tasks to avoid delays and bottlenecks in operations.
Optimal Utilization: Ensure that resources are utilized efficiently to avoid underuse or overuse, which could lead to wasted capacity or burnout.
Project Scheduling and Coordination
Collaborating with Project Managers: Work closely with project managers to understand project requirements, timelines, and constraints and help ensure that resources are planned and allocated accordingly.
Develop Resource Schedules: Create detailed schedules for resource utilization, tracking resource availability and ensuring alignment with project deadlines.
Balancing Resource Loads: Ensure that resources are not overburdened or underutilized by balancing workload distribution across different projects or teams.
Adjusting Resource Plans: Adjust resource allocation based on changes in project scope, timelines, or available capacity, and communicate changes to relevant stakeholders.
Tracking and Monitoring Resource Usage
Resource Tracking: Continuously monitor the use of resources to ensure they are being utilized according to the plan and identify any potential shortages or overages.
Data Reporting: Prepare and maintain reports on resource utilization, project progress, and any issues related to resource allocation or efficiency.
Managing Resource Conflicts: Identify and resolve any conflicts or overlaps in resource scheduling that may arise during the course of multiple ongoing projects.
Cost Monitoring: Track resource costs, ensuring that the allocated resources stay within budget and that any discrepancies are addressed quickly.
Bachelor's degree in Engineering or a related field
Minimum of 5 years of experience in portfolio resource management across multiple sectors
Strong analytical and organizational skills
Excellent communication and interpersonal abilities
Ability to prioritize tasks and manage competing demands effectively
Strong attention to detail and problem-solving skills
Experience in the construction or engineering sector is preferred
Resource Optimization
Process Improvement: Work to improve resource planning processes to increase efficiency, reduce waste, and improve the overall allocation strategy.
Technology Utilization: Implement and optimize resource management tools or software (e.g., MS Project, SAP, or other resource planning software) to streamline the resource planning process.
Best Practices Development: Develop and refine best practices for resource allocation and planning to enhance overall organizational efficiency.
Resource Pool Management
Maintaining a Resource Pool: Develop and maintain a resource pool, consisting of available personnel, equipment, and other assets, ensuring there is a readily available list of resources that can be accessed as needed.
Resource Development: Collaborate with HR or relevant departments to ensure that the necessary skills are available in the organization by developing resource capacity and expertise.
Resource Training and Development: Identify gaps in the current resource pool, collaborate with training departments, and develop training plans to meet future needs.
