This is a remote position.

Construction Operations Administrator

Working Hours

  • Monday to Friday 7am4pm Perth Time with hour unpaid break

About the Role

Join a premier architectural building company as an Operations Administrator ensuring seamless administrative and project management support. Work closely with a passionate team delivering highend residential projects managing client communication project coordination and operational efficiency.

Core Responsibilities

Client Communication & Coordination

  • Manage multiple email accounts responding within business hours (1hour response time).
  • Maintain consistent client communication and project updates.
  • Qualify leads and manage CRM system.
  • Support client satisfaction through proactive coordination.

Project & Operations Management

  • Process and allocate invoices via PX360.
  • Maintain and update project schedules in Gantt Pro.
  • Coordinate contractor scheduling and job costing.
  • Track project budgets variations and costs.
  • Maintain project documentation and team timesheets.

Compliance & Documentation

  • Manage compliance documentation (SWMS safety requirements).
  • Support quality control through tracking and documentation.
  • Oversee document control across Dropbox and PX360.
  • Coordinate financial documentation with the bookkeeper.

Marketing & Business Development

  • Assist with social media and website content (@heartwoodbuilding).
  • Support lead generation and CRM management.
  • Create marketing content using Canva.

Key Performance Indicators (KPIs)

  • Timely client responses (zero delays).
  • Organized and completed project documentation before stage completion.
  • No missed compliance deadlines.
  • Jobs scheduled 24 weeks in advance.
  • Quality control checklists completed for active projects.
  • SOP documentation maintained.
  • Reduced manual data entry and workflow inefficiencies.

Skills & Qualifications

Communication & Organization

  • Excellent written/verbal communication and client coordination skills.
  • Strong organizational abilities with calendar and deadline management.
  • Detailoriented with proactive problemsolving skills.

Technical Proficiency

  • Experience with construction/project management software (PX360 Gantt Pro).
  • Proficiency in Google Workspace Dropbox and CRM systems.
  • Familiarity with construction documentation and compliance.

Preferred Skills

  • Marketing and social media experience.
  • Familiarity with Xero and estimating software.
  • Understanding of project management methodologies.

Personal Attributes

  • Positive attitude and strong attention to detail.
  • Ability to work independently with a proactive mindset.
