Job Description

Position : Marketplace and Operations Assistant

Work Hours (Client) : 9AM to 5PM EST Mon Fri

Pay Range : $2000 $2300/month USD (depending on interview assessment and client's approval)

Key Responsibilities:

Amazon Seller Central

  • Inventory Management:
    • Perform biweekly FBA inventory forecasting.
    • Pull reports monitor inventory levels and review intransit shipments.
    • Consolidate shipments and create FBA Transfer Orders.
  • Fulfillment Tasks:
    • Import data into NetSuite fulfill to warehouses and generate labels.
    • Assign carriers monitor shipment movement and log shipments.
  • Reconciliation:
    • Identify missing units and produce documentation for FBA reconciliation (MFI Lost & Damaged).
    • Submit cases log responses and monitor reimbursements.
  • Dispute Management:
    • Handle measurement discrepancies violations and root cause analyses.
  • FBM Order Management:
    • Monitor highvolume FBM orders and review stock status across FBA and VC.

Amazon Vendor Central

  • Order Processing:
    • Manage VC order acknowledgments inventory allocations and location assignments.
    • Investigate inventory shortages and items overstocked in SC.
    • Import orders into NetSuite fulfill to warehouses and generate labels.
  • Reconciliation:
    • Audit VC orders for discrepancies including missing or unfulfilled orders.
    • Submit disputes for shortages price claims and unbilled overages.
  • Case Management:
    • Manage cases for carrier pickups pastdue orders and highvalue invoice collections.

Inventory Maintenance:

  • Investigate and correct understocked or rejected items during inventory reviews.

Walmart Marketplace (WFS):

  • Order and Inventory Management:
    • Import WFS orders remove canceled items and log shipments.
    • Perform WFS inventory forecasting every three weeks including shipment consolidation and transfer order creation.
  • Reconciliation:
    • Handle missing inbound units defective returns and case management.

Data Management and Reporting:

  • Maintain weekly and monthly consumer sales reports.
  • Pull data calculate estimated net sales and filter adjustments.
  • Track and report new/expired marketplace policies updated features and SOP changes.

Policy and SOP Maintenance:

  • Keep SOPs uptodate with new processes and document undocumented workflows.
  • Research and adapt to new marketplace requirements and changes (e.g. pallet labels partnered carriers).

Assistant:

  • Schedule and send reminders for tasks deadlines or followups.
  • Keep the manager informed of any outstanding emails tasks or issues requiring attention.
  • Assist in organizing and tracking meetings appointments and deadlines.


Accounting and Audit Expertise:

  • Apply advanced accounting skills to review financial discrepancies identify errors and rectify them promptly.
  • Monitor and dispute invalid charges such as overages and billing errors ensuring timely resolution.
  • Conduct regular audits of financial workflows focusing on compliance and process improvement.
  • Develop and maintain reports on financial activities including invoice reconciliation and chargeback resolutions.
  • Conduct VC Accrual Invoice Audits to ensure financial accuracy and compliance.
  • Manage overage collections reconcile discrepancies and submit claims.
  • Handle chargebacks by investigating root causes resolving issues and implementing preventive measures.


Qualifications:

  • Proven experience managing Amazon Seller Central Vendor Central and Walmart Marketplace operations.
  • Proficiency with tools like NetSuite Asana and Google Sheets.
  • Strong analytical and problemsolving skills particularly in reconciliation and dispute management.
  • Excellent communication skills for coordinating with carriers vendors and internal teams.
  • Familiarity with marketplace policies compliance requirements and pricing strategies.
  • Highly organized and capable of handling complex workflows across multiple platforms.
