The department coordinator act as the point of contact for all employees, providing administrative support and managing their queries. Main duties include managing office stock, preparing regular reports, record keeping, file maintenance and HRIS entry.
Major Duties and Responsibilities
.
Performs customer service functions by answering employee requests and questions.
.
Support Business Operation and management tasks and to ensure that the department meets its daily operation goal.
.
Receives and distributes all incoming and outgoing correspondence.
.
Creates and maintains an efficient and comprehensive filing / records system to facilitate quick and easy access to documentation/correspondence and information, when required.
.
Organize a filing system for important and confidential company documents.
.
Composes correspondence as instructed or required.
.
Accomplishes basic studies and special projects as assigned.
.
Delegates Task to appropriate team member.
.
Managing Deadlines and monitor progress report across the team members to ensure the task/project has been delivered on time
.
Undertakes administrative work related to Committees chaired or attended by the Head of Department including arranged meeting venues/times; taking and drafting minutes circulating these, following up on associated correspondence.

Prepares various statistical reports.

Maintains office supplies through an inventory and monitors issuance.
.
Meets current objectives and positions the organization for future growth. Completes daily tasks and assignments and processes large volumes of work associated with the operation of the department.

Meets and exceeds expectations of internal and external customers. All organizational and departmental standards regarding quality of performance are met. Demonstrates a strong commitment to confidentiality. Participates in quality improvement programs as directed.

Follows all facility guidelines outlining standards of attendance and punctuality. Responsible for reporting to and completing work at assigned times.

Performs additional tasks and duties as assigned by Superiors.
Diploma in office/general administration.
University degree in Management is preferred.
Two (2) years' experience as coordinator or Administrative Officer.
Experience with office management software like MS Office (MS Excel and MS Word, specifically)
Strong organization skills with a problem-solving attitude
Excellent written and verbal communication skills
Ability to compose official letters.
Administrative Support
Scheduling Appointments: Coordinating meetings, interviews, and appointments for HR managers or HR team members, including setting up interviews for potential candidates.
Maintaining HR Calendars: Managing the HR department's calendar, including important deadlines, meetings, or HR-related events.
Handling Correspondence: Drafting, reviewing, and sending emails, letters, or memos related to HR matters such as recruitment, policies, or employee communications.
Document Management: Organizing and maintaining both physical and digital HR records and files, ensuring they are up to date and accessible when needed.
Recruitment and Onboarding Assistance
Job Posting and Advertising: Assisting with the preparation and posting of job vacancies on job boards, company websites, and other recruitment channels.
Screening Applicants: Helping to screen applications or resumes and schedule interviews for hiring managers.
Coordinating Interviews: Organizing interview schedules, notifying candidates, and ensuring the necessary materials or equipment are prepared for interviews.
Onboarding: Assisting with new employee orientation, including preparing welcome packets, managing paperwork (such as tax forms, contracts, and benefits enrollment), and introducing new hires to the company.
