We are looking for an EntryLevel HR Assistant to support our growing HR team in managing the daytoday HR functions and ensuring that our workplace runs smoothly and efficiently. The ideal candidate will have a strong interest in human resources excellent organizational skills and a passion for contributing to a positive company culture that promotes innovation inclusion and development.

Job Summary:

As an EntryLevel HR Assistant at CiviTronix you will support the HR department by performing administrative duties assisting with recruitment efforts managing employee records and contributing to various HR processes. This is a fantastic opportunity for individuals who are eager to learn and grow within a dynamic engineering firm while making a tangible impact on employee satisfaction recruitment and organizational success.

Key Responsibilities:

  • Administrative Support:
    Provide administrative assistance to the HR team including managing calendars scheduling interviews and preparing HR documents (e.g. offer letters new hire paperwork employment contracts).
    Assist with maintaining employee records and updating HR systems to ensure accurate and uptodate employee information.
    Respond to basic HRrelated inquiries and provide timely assistance to employees regarding HR policies benefits and procedures.
  • Recruitment & Onboarding:
    Assist in the recruitment process by posting job openings on company job boards and external platforms screening resumes and scheduling interviews.
    Coordinate with hiring managers to ensure smooth and efficient interview processes.
    Assist with the onboarding process for new hires including preparing orientation materials ensuring all new hire paperwork is completed and facilitating introductions to key teams and resources.
  • Employee Engagement & Support:
    Help organize employee engagement initiatives and wellness programs contributing to maintaining a positive company culture.
    Assist in the implementation of employee recognition programs and support the HR team in organizing training workshops and teambuilding events.
    Track employee attendance and assist with managing leave requests and other related HR documentation.
  • Compliance & Reporting:
    Help ensure compliance with all relevant labor laws regulations and internal policies.
    Support in preparing HR reports related to employee turnover hiring trends and other key HR metrics.
    Maintain confidentiality of sensitive HR information and adhere to data protection standards.
  • HR Projects & Process Improvement:
    Assist in various HR projects such as improving employee satisfaction refining internal policies or optimizing HR software tools.
    Work closely with the HR team to streamline HR processes ensuring efficiency and consistency across HR functions.
  • General Office Support:
    Assist with maintaining office supplies coordinating meeting spaces and performing other administrative tasks as needed.


Required Skills and Qualifications:

  • Educational Background:
    A Bachelors degree in Human Resources Business Administration Psychology or a related field is preferred or equivalent relevant experience.
    Recent graduates are encouraged to apply!
  • Key Skills:

    • Strong communication skills both written and verbal.
    • Excellent organizational and timemanagement abilities with the capacity to handle multiple tasks simultaneously.
    • Proficiency in Microsoft Office Suite (Word Excel PowerPoint) and familiarity with HRIS (Human Resource Information Systems) is a plus.
    • Ability to maintain confidentiality and handle sensitive information with discretion.
    • Strong attention to detail and commitment to highquality work.
    • Positive cando attitude with a willingness to learn and take on new challenges.

Pay rate: $22.00 $27.00 / hour

Location: Remote (United States Only)
