Company Overview
Our client is one of Canada’s largest and most successful law firms. They are currently seeking a Human Resources Assistant to provide general administrative support to the Human Resources and Legal Personnel Departments as well as other committees as needed. This position reports to the Director Administration and HR Manager.
Key Responsibilities

HR & Payroll Administration:
- Prepare new hire packages and process HR & payroll forms.
- Administer the HRIS program (Ultipro) by entering new hires employee changes and terminations; generate reports as needed.
- Post absences and vacation entries in Ultipro.

Data Management & Documentation:
- Gather and update HRrelated data including HR lists office floor plans and local lists.
- Assist with updating and maintaining Orientation Manuals Employee/Student Handbooks Policies and Procedures Manual and related documents.

Event Coordination:
- Actively participate in the Firm’s Social Committee by planning and organizing staff events.
- Coordinate internal and external student events.

Record Maintenance & Support:
- Maintain confidential personnel files and HR records.
- Respond to queries regarding benefits HR policies and legal personnel procedures.
- Assist with the performance review process and maintain its database (ViDesktop).
- Provide general administrative support to the HR and Legal Personnel Departments including processing invoices.
- Assist with facilities requests liaising with the building landlord cleaners tradespeople and contractors.
- Provide backup receptionist support as required.
Qualifications & Skills
Education & Experience
- Minimum 35 years of office administrative experience.
Technical & Soft Skills
- Strong proficiency in Microsoft Word PowerPoint and Excel.
- Comfortable working with online databases.
- Ability to interact with lawyers students staff and potential recruits with tact and diplomacy.
- Demonstrated capability to handle sensitive information with confidentiality.
- Excellent interpersonal organizational and time management skills.
- Ability to work both independently and collaboratively within a team.
- High attention to detail.
- Energetic and customer serviceoriented.
- Willingness to work occasional overtime.
Compensation & Benefits
- Salary Range: $50000 $65000
