Job Description

The Sales Operations Administrator is responsible for supporting the sales process by managing order processing contracts project tracking item maintenance commission reporting and coordination with outsourced employees. This role ensures efficient workflow across multiple departments maintains data accuracy and builds strong relationships with key stakeholders.

1. Role 1: RTech and RCN Orders

  1. Responsibility 1: Build a strong relationship with Channel Manager and Vendors.
  2. Responsibility 2: Review signed estimates and contracts for accuracy.
  3. Responsibility 3: Enter RTech Orders within 24 hours of receipt of signed items.
  4. Responsibility 4: Create estimates for pricing exceptions after confirming approval.
  5. Responsibility 5: Review Sales Orders for Approval and enter Projects.

2. Role 2: Contracts Module Backup and Procurement Backup

  1. Responsibility 1: Upload Contract to the CRM.
  2. Responsibility 2: Enter details of the contract.
  3. Responsibility 3: Collaborate with the fulfillment field service and sales teams to deploy products in an efficient time.
  4. Responsibility 4: Order process champion: Understand all areas of order processing from the time of sale through to the invoicing to customers.
  5. Responsibility 5: Build a strong relationship with Procurement specialist and employ communication skills to stay up to date on what support is needed.

3. Role 3: Project Manager

  1. Responsibility 1: Keep track of where all projects are within the pipeline.
  2. Responsibility 2: Build a strong relationship with all departments.
  3. Responsibility 3: Reach out as needed to move Projects along.
  4. Responsibility 4: Report in flight times and updates to Leadership.

4. Role 4: Item & SKU Maintenance

  1. Responsibility 1: Updating the active items when products are discontinued or have a price update.
  2. Responsibility 2: Adding new products into the system when they are released.
  3. Responsibility 3: Occasional maintenance on legacy items to comply with system updates and reporting.

5. Role 5: Commission Calculation & Reporting

  1. Responsibility 1: Accurately calculate commissions based on order data ensuring all transactions are properly recorded and aligned with commission structures.
  2. Responsibility 2: Generate regular commission reports for internal teams ensuring timeliness and accuracy.
  3. Responsibility 3: Identify discrepancies in commission data and work with relevant stakeholders to resolve any issues.

6. Role 6: Project Coordinator for Outsourced Employees Task

  1. Responsibility 1: Track and report on progress.
  2. Responsibility 2: Build strong relationships with outsourced employees.
  3. Responsibility 3: Act as main point of contact for outsourced employees projects.


Requirements

Education

High School Diploma or GED

Experience & Background

13 Years of Experience in an Operations role is preferred.

Experience with Data Analysis and Commissions is preferred.

Preference is to be skilled in Microsoft Excel and other database systems.

Proficiency in CRM systems and other cloud based databases

  • Familiarity with project management tools and methodologies.

Success Criteria for this Position

  • After training showing the ability to conduct an installation without revisiting an installation site once complete
  • Ability to schedule and complete installations within established timeline goals
  • Ability to minimize the time onsite while completing an installation properly
  • Ability to communicate the process of an installation to a customer and answer any questions they may have
  • Ability to continue education to understand and be certified to install new products as they arrive
  • Can clearly communicate with vendors customers and sales reps by 60 days
  • Tracing POTS lines in under 1 hour
  • Believes and advocates for a culture of accountability results and positivity within the sales organization
