The Operational Support Assistant is a key role supporting the Head of Business Support in ensuring the smoothrunning of operational processes and initiatives within the business. This position is instrumental in deliveringadministrative organisational and analytical support to drive operational efficiency enhance reporting accuracyand facilitate the integration of new systems and acquired businesses.
The role offers the opportunity to contribute to a dynamic and growing construction organisation while gainingvaluable exposure to a broad range of business functions.
Duties and Responsibilities
Administrative Support
Provide comprehensive administrative support to the Head of Business Support includingscheduling meetings preparing reports and managing correspondence.
Maintain organised records of key documents processes and reports.
Assist with the preparation of presentations data analysis and operational updates for seniorleadership.
Plan manage and coordinate logistics meetings (including minute taking) and other
operational requirements as the business requires.
Operational Efficiency
Support the coordination and tracking of process improvement initiatives across the business.
Assist in documenting workflows policies and procedures to ensure consistency and
alignment with company standards.
Monitor and follow up on the progress of operational projects and initiatives.
Reporting and Data Management
Collect organise and consolidate data from various departments to support consistent andaccurate reporting.
Assist in generating regular performance reports ensuring data integrity and alignment withkey performance indicators (KPIs).
Work with relevant teams to address discrepancies and improve reporting processes.
Business Administration
Handle daytoday business administration tasks including document management filing andarchiving.
Support procurement processes by coordinating supplier documentation purchase orders andapprovals.
Assist in managing budgets invoices and expense tracking ensuring timely processing andcompliance with company policies.
Act as the first point of contact for internal and external queries related to operational andadministrative matters.
Support for Business Integration
Provide administrative and logistical support for the integration of newly acquired businesses.
Assist with the alignment of processes systems and reporting between the parent companyand acquired entities.
Track integration milestones and ensure timely communication of progress.
Skills and Experience
Education:
ALevel or equivalent qualifications required. A degree in Business Administration OperationsManagement or a related field is desirable but not essential.
Experience:
Previous experience in an administrative business administration or operational support rolepreferably within the construction or related industries.
Familiarity with reporting data management and business systems is an advantage.
Skills:
Strong organisational and timemanagement skills with the ability to handle multiple taskssimultaneously.
Proficiency in Microsoft Office Suite (Excel Word PowerPoint Outlook).
Excellent communication and interpersonal skills.
Analytical mindset with attention to detail.
Ability to work collaboratively in a teamoriented environment.
