Job Description

The Sales Coordinator is a fulltime position in NBCUniversals Theatrical Distribution organization in the US and Canada.  This position provides administrative support to the EVP General Sales Manager and the broader US sales department.  The ideal candidate for this position has exemplary planning and time management skills and can organize and manage calendars keeping scheduling operations running smoothly and efficiently.  This individual should also be passionate about movies and have an appreciation for the theatergoing experience.  They will be instrumental in helping to plan manage and execute on team events and meetings with internal and external stakeholders.  This position has visibility to the Universal Filmed Entertainment leadership team; professional communication and presence are essential to the role.

Essential Responsibilities:

  • Proactively manage daily schedule/calendar expenses contacts travel arrangements and meetings (internal and external) for the EVP
  • Manage complex meeting/event preparation as needed (AV room scheduling telepresence events etc.) including setup preparing presentations/agendas/materials documenting and disseminating notes and coordinating followup items to completion
  • Create and edit presentations agendas spreadsheets communications databases and reports
  • Prepare weekly sales reports for internal and external needs
  • Manage the schedule and logistics for trade screenings for the sales team in partnership with the operations team
  • Manage the communications for tickets on sale information in partnership with the InTheatre Marketing team
  • Manage the communications for early access events and other special programs
  • Assist in the execution of group sales events and other special screenings
  • Track and maintain logistics details required for sales team attendance at trade shows
  • Support the sales team in preparing and executing sales presentations and events
  • Provide customer service support to clients and exhibitors
  • Manage special projects/events as designated assist other department members as necessary and act as back up for other administrative needs on team
  • Prepare and processes expense reports in accordance with established divisional travel policy guidelines; Ensure the timely processing of expenses utilizing the latest electronic payment processes to corporate credit cards
  • Perform other duties as assigned  

Qualifications :

  • Minimum of 5 years experience in an administrative support role ideally in a distribution or theatrical department
  • Experience in Microsoft Office programs including Outlook Word Excel PowerPoint and Teams
  • Demonstrated ability to work with and maintain confidential information

Eligibility Requirements:

Desired Characteristics:

  • Experience in Theatrical Sales or Operations preferred
  • Demonstrates leadership to maintain credibility and trust with management staff
  • Track record of proactively managing/coordinating daily schedule/calendar expenses contacts travel arrangements meetings (internal and external) conferences and seminars for the team leader with minimal error
  • Ability to multitask and handle competing priorities for multiple executives
  • Manages stressful situations and can execute well under high pressure situations
  • Strong interpersonal skills including a professional phone manner email etiquette and inperson presence
  • Experience taking detailed notes extracting action items following up with stakeholders and overseeing general team programming needs

Additional Requirements:

Hybrid: This position has been designated as hybrid generally contributing from the office a minimum of three days per week.

Salary range: $60000.00 $80000.00 (not bonus eligible)
