Job Description

Position Title: CRM Customer Service and Admin
Work Setup: Work from Home
Schedule: 4:00 PM 01:00 AM
Salary: Php
Signon Bonus: TBC

JOB DESCRIPTION FOR A CRM CUSTOMER SERVICE AND ADMIN

Your Responsibilities as a CRM Customer Service and Admin would be:
Daytoday Operation: Manage the CRM for all sales and customer service tasks manage customer data and ensure accurate recordkeeping.
Lead Management: Input new enquiries into the CRM system track sales leads and assign them to the appropriate team members.
Pipeline Management: Monitor and update the sales pipeline ensuring that all leads are followed up promptly and appropriately moved through the sales funnel.
Data Accuracy: Ensure data integrity and accurate information within the CRM including regular updates to customer information sales progress and communication logs.
Reporting: Generate reports on customer interactions service efficiency and maintain an uptodate tracker for weekly scorecard reporting categorizing sales leads under Scanning Test Concrete or Repairs for management review.
Enquiry Management: Respond to customer enquiries via the catchall email and telephone and effectively manage all enquiries in the primary sales email (Roger@) log interactions in the CRM and follow up as needed.
Sales Stages Management: Coordinate and track the various stages of the sales process from initial enquiry through to contract signing project management and closure of the file postproject completion.
Customer Communication: Handle regular communication with clients throughout the sales and project lifecycle ensuring excellent customer service and professional interactions.
First Point of Contact: Serve as the first line of communication for incoming calls and emails providing information or directing inquiries to the relevant teams.
Customer Issue Resolution: Handle customer service requests issues or complaints and ensure they are resolved promptly with clear communication throughout the process.
PostSale FollowUp: Ensure customers receive all necessary postproject documentation and provide support for any followup queries.
Documentation: Maintain organised records of sales and customer service interactions ensuring all files are up to date and easily accessible.
Reporting: Generate reports from the CRM on sales performance customer interactions and project status for management review.
File Closure: After the project is completed ensure that all customer files are properly closed and archived according to company standards.


Qualifications as a CRM Customer Service and Admin:
Prior experience of 23 years in administrative roles supporting sales and customer service teams.
CRM Expertise: Experience managing CRM systems such as High Level with strong capabilities in handling customer data pipelines and integrated tools.
Knowledge of Genie AI CRM would be an advantage
Capable of finding the best approach for every unfamiliar task assigned.
Adaptable and quick learner able to grasp new concepts systems and processes efficiently to deliver results with minimal supervision.
A natural problem solver with a sharp analytical mindset.
Strong attention to detail ensuring accuracy and thoroughness in all tasks and responsibilities.
Communication Skills: Excellent verbal and written communication skills with the ability to handle email and telephone enquiries professionally and efficiently.
Sales Administration: Proven experience in supporting sales processes from lead management through to contract administration and project completion.
Customer Service: A strong focus on delivering outstanding customer service with the ability to resolve issues and maintain client satisfaction.
Document Management: Experience managing contracts and documentation via systems like DocuSign ensuring accuracy and timely completion of agreements.
Multitasking and Organization: Strong organizational skills with the ability to manage multiple tasks simultaneously keeping track of all sales and customer service activities.
Construction Industry Knowledge (Preferred): Familiarity with the construction industry or a related field is highly desirable as it helps in understanding project lifecycles and customer needs.

Accurate and Reliable Data: Maintaining a clean and uptodate CRM database ensuring data integrity for informed decisionmaking.
Strong Customer Relationships: Building and nurturing positive relationships with customers through consistent and professional communication.
