About the Role

We are seeking a proactive Human Resources Assistant to support HR operations for Expo 2025 Osaka. The HR Assistant will assist in managing onboarding processes ensuring compliance with Japanese labor and immigration laws and supporting general HR functions. This role will work closely with management and key stakeholders to facilitate smooth HR operations throughout the event.

Key Responsibilities

  • Oversee the onboarding process for new hires including visa processing contract drafting and other related activities.
  • Provide guidance to management on Japanese labor laws and immigration regulations.
  • Collating documentation from candidates and insure theory are accurate for visa processing
  • Respond to candidates questions in regards to contractual related matters.
  • Assist with HR administration employee relations and compliance tasks.
  • Collaborate with stakeholders to ensure the effective implementation of HR policies and processes.
  • Support payroll social insurance and other HRrelated functions as needed.

Required Skills & Experience

  • Business level English Proficiency.

  • Nativelevel Japanese proficiency (ability to explain complex HR policies to nonEnglishspeaking employees).
  • 23 years of experience in HR payroll systems (experience with system implementation or Workday is a plus) would be desirable.
  • Basic proficiency in Microsoft Office (familiarity with 3040 Excel functions; basic VBA knowledge is a plus).
  • Strong understanding of Japanese labor laws and immigration regulations.
  • Basic knowledge of payroll social insurance and taxation in Japan.

Location & Commitments

  • Fulltime contracted until October 2025.

  • Work 5 days a week with flexibility according to project needs.

  • Based in Japan with occasional travel for onsite meetings or events.
