Overview:
Join a thriving carpentry and building business as a Construction Administrator playing a key role in streamlining operations for highvalue renovation projects. You ll handle critical administrative tasks from quote preparation to financial tracking enabling the team to focus on delivering exceptional craftsmanship. This role supports diverse projects from domestic renovations to largescale school refurbishments while driving business process improvements.
Responsibilities
Administrative & Documentation Management
- Convert site visit videos into detailed quotes within 48 hours.
- Maintain efficient document management systems.
- Create and update Standard Operating Procedures (SOPs).
- Assist in transitioning from Excelbased systems to job management software.
- Conduct daily job audits through photo documentation and progress reports.
Client Communication & Coordination
- Manage client communications and provide regular project updates.
- Ensure timely responses to inquiries within 24 hours.
Financial Administration & Profitability Tracking
- Process and track invoices ensuring accurate job matching within 24 hours.
- Document and bill project variations within 48 hours.
- Assist with profitability analysis and prepare monthly financial reports.
Project Scheduling & Coordination
- Coordinate schedules for multiple trades across various projects.
- Manage documentation and scheduling for 60 trade contractors.
- Oversee quoting processes with a 48hour turnaround target.
Process Improvement & Systems Development
- Implement systems to enhance efficiency and scalability.
- Support the transition to structured business operations.
- Reduce administrative workload by 50% within four months.
Success Metrics
Communication Excellence
- 90% of quotes delivered within 48 hours.
- 100% followup on sent quotes within 5 business days.
- 75% reduction in client status update requests.
Financial Management
- 100% of invoices processed within 24 hours.
