Join us as a Team & Executive Assistant and become a part of our closeknit team with your passion to handle organizational and administrative challenges. This is a unique opportunity to play a pivotal role in supporting our team and partners in their daytoday activities and contribute to the overall success of our organization. You will be a key liaison within our team ensuring seamless communication efficient operations and strategic alignment. Thereby you actively contribute to our mission to support outstanding founder teams that are building the next generation Digital Infrastructure and Web3.
Tasks
- Office Management: Efficiently manage daily office operations including mail handling procurement of office supplies and maintaining a warm welcoming and organized workspace.
- Project Support: Assist in special projects collaborating across the team to ensure timely and successful project completion. Assist in collecting and presenting data to facilitate informed decisionmaking.
- Calendar and Time Management: Efficiently manage the complex schedules of the managing directors optimizing their time and ensuring that important meetings appointments and deadlines are wellcoordinated.
- Meeting Coordination: Organize and facilitate meetings including agenda and presentation preparation and minutes documentation. Help drive actionable outcomes and follow up on action items.
- Travel and Logistics: Coordinate travel arrangements itineraries and accommodations for the team and support with expense management.
- Relationship Building: Help to develop and maintain positive relationships with stakeholders both internally and externally fostering collaboration and effective communication and take over tasks in the areas of PR Marketing and Event Planning.
- Accounting Assistance: Manage specific accounting tasks such as data entry expense tracking etc. Work in close collaboration with the finance team to ensure accurate financial records.
- Professional Development: Stay current with industry trends and best practices continuously enhancing your skills.
Requirements
- Successfully completed apprenticeship/professional education
- Ability to thrive in a fastpaced collaborative environment with a high level of integrity professionalism and adaptability
- Strong organizational skills with a handson mentality and meticulous attention to detail
- Great verbal and written communication skills
- Languages: German or English at one of which at native speaker level (C2) and the other one fluent in speaking and writing (min. B2)
- Handle sensitive information with the utmost confidentiality and discretion maintaining trust and integrity in all interactions
- Familiarity and sympathy with digitalfirst processes in a paperless office
- Proficiency in office productivity software (Microsoft Office; Google Workspace and Notion are an advantage) and ideally a basic understanding of accounting principles
