- Main Function
The Finance and Administrative Junior Officer will be responsible to support in preparing and overseeing the financial operations of the Reef Guard project executed through WWF Mesoamerica. This includes administration and assist in the preparation of budgets financial execution payroll controls records and financial reports. The Finance and Administrative Junior Officer will ensure compliance with local laws as well as the organizations policies practices procedures and donor requirements. Additionally this position will monitor and report on financial performance ensuring the efficient and transparent management of funds and will be instrumental in maintaining the integrity and accuracy of all financial transactions related to the project.
- Key responsibilities:
Finance and Accounting:
- Assist in the preparation of the annual operational budget for the assigned project.
- Support the issuance of payments related to the project and record all transactions in the SAGE accounting system as required including use of the Bridger system.
- Ensure that all transactions related to the project have the necessary supporting documents to justify payments or disbursements and that these are kept in an orderly manner.
- Assist in performing banking transactions such as electronic transfers deposits check preparation project tax payments payroll social security payments bank book control account statement verification and monthly account reconciliation.
- Prepare advances for approved travel expenses and review travel expense reports for project staff in accordance with the organizations policies and procedures.
- Send accounting information to the Belize City office for data integration.
- Manage petty cash.
- Support in preparing monthly and quarterly financial execution reports for the project.
- Attend internal audits of the organization and the project audit.
Administration:
- Maintain inventory control of software furniture and project equipment.
- Manage and update insurance for furniture and office equipment.
- Organize and coordinate a wide range of activities including meetings workshops events and field trips ensuring smooth execution and timely preparations.
- Manage both international and local travel arrangements including accommodations itineraries and logistics to meet the needs of the team or organization.
- Develop any additional responsibilities arising from the nature of the job or as assigned by the supervisor.
- Participate in experiencesharing exchanges within the region or with other WWF Program offices.
- Prepare quotations for goods and services and the analysis of their award.
- Make purchases of project supplies and equipment.
- Support human resources functions such as vacation control payroll tax retention projections social security payments updating medical/life insurance among others.
- Coordinate and monitor the reception of project staff timesheets ensuring they comply with the organizations and donors policies and procedures.
- Coordinate with the Contracts Officer and Supervisor the receipt review and registration of technical reports and expense reports for consultancy agreements and subagreements as well as the submission of payment files for agreements to the project files.
- Assist in entering information for consultancy and grant agreements in the SmartSimple system when required.
- Reconcile and review monthly balances and provisions for consultancy and grant agreements in collaboration with the Supervisor for monitoring and control of information in Workday and SAGE.
Qualifications :
Citizen of Belize or another Central American country with residence and work permit in Belize.
Education and Experience
a. Education
- Bachelors degree in Business Administration Accounting Finance or related fields is desirable (or complete all coursework).
b. Experience
- At least three years of professional experience in finance and administration.
- At least three years of experience working in international organizations managing projects funded by international cooperation.
- At least three years of experience in administration general accounting budget control preparation of financial statements fixed asset control participation in audits knowledge and application of taxes and legal benefits knowledge of SAP or other accounting systems preferably in international organizations.
- Skills and Abilities
- Deseriable Bilingual (EnglishSpanish).
- Excellent oral and written communication skills.

- Willingness to travel within and outside of Belize as required.
