Short term assignment (16 hours of work total)
Departments supported: Legal and Engineering
The role will involve boxing up records and writing a brief description on the outside of each box. The Tulsa team will then ship the cartons to the Milwaukee office for review.
Position Summary:
The administrative assistant/record associate is responsible for supporting and maintaining a comprehensive information and records management program and system to ensure compliance with the company adopted retention schedule for all types of media.
Essential Functions and Basic Duties:
Analyzes codes updates and maintains a wide variety of materials by numeric classification system e.g. litigation matters contracts and other business records
Separate and reorganize existing files
Update databases to reflect information and apply retention schedule to company documentation for compliance.
Analyze information and records management needs of the organization develop plans that reflect these needs.
Conduct internal reviews of departmental records.
Performs essential duties and additional tasks as assigned.
Knowledge Skills and Abilities:
Records retention and management procedures and the ability to accurately file numerically alphabetically alphanumerically or chronologically.
Advanced computer skills to utilize MS Office software products (MS Word Access and Excel)

Ability to:
Assess analyze identify and implement solutions to technical problems.
Maintain strict confidentiality regarding sensitive company information including personal details financial records and internal company strategies by adhering to data privacy regulations and only disclosing information on a needtoknow basis.
Operate office machines and personal computers including word processing database and spreadsheet programs and recording software and equipment.
Understand and follow both written and verbal instructions and to work under both close general or no supervision depending upon the nature of the assignment.
Establish effective relationships with other departments and to provide excellent internal customer service.
Ability to prioritize workflow and complete multiple tasks in an accurate & timely manner.
To lift record cartons between 35 to 50 pounds.
Qualifications:
Any combination of education and experience equivalent to a bachelors degree from an accredited college or university with major course work in Records Management Business Administration Information Technology Legal or related field.
Any equivalent combination of training education and experience which provides the individual with the required knowledge skills and abilities to perform the job.
Experience with reviewing contracts including prior experience with contract management databases and/or platforms is useful but not mandatory.
