This is a remote position.

Role Name: Administrative Operations Coordinator

Schedule:

  • Fulltime Monday to Friday 9:00 AM to 6:00 PM

Job Description

We re seeking a detailoriented Administrative Operations Coordinator to join our client s dynamic team. In this role you ll be at the heart of the organization s daily operations managing crucial administrative functions that keep the business running smoothly. This position offers an exciting opportunity to work with modern business tools while handling diverse responsibilities that directly impact the company s success. You ll be instrumental in maintaining organizational efficiency through data management scheduling coordination and process documentation.

Responsibilities

  • Execute accurate data entry and maintain comprehensive database records for warranty registrations and customer information
  • Coordinate and schedule property inspections while managing multiple calendars to ensure optimal timing and efficiency
  • Process and track permit applications ensuring all documentation is complete and submitted according to local requirements
  • Maintain organized digital filing systems and update records in realtime
  • Coordinate with team members to optimize scheduling and workflow processes
  • Monitor and track important deadlines for permits inspections and warranty registrations
  • Generate and maintain accurate reports for various operational metrics


Requirements

  • Proven experience with data entry and database management systems
  • Proficiency in calendar management and scheduling software
  • Skills in Microsoft Excel
  • Experience with Asana project management software or similar
  • Excellent attention to detail and accuracy in data handling
  • Strong organizational and time management abilities
  • Professional communication skills in English (written and verbal)
  • Ability to work independently while maintaining team collaboration
  • Reliable internet connection and dedicated workspace


Proven experience with data entry and database management systems Proficiency in calendar management and scheduling software Skills in Microsoft Excel Experience with Asana project management software or similar
