Responsibilities
Sales Support
Platform Management
- Oversee the QuoteMaster online quoting tool including coordination with developers for updates or issue resolution.
Tenders
- Maintain the Bid Library on SharePoint ensuring uptodate documentation aligns with global marketing standards.
- Support PreQualification Questionnaires and manage client portal setups for RFPs.
Client Onboarding & Portals
- Serve as the admin for all customer portals.
- Assist with client onboarding documentation ensuring a professional and efficient process.
- Deliver exceptional service to external customers throughout onboarding.
Order Processing
- Ensure all documentation is ISO NSI and PSA compliant.
- Verify orders to confirm required approvals and compliance with commercial thresholds.
- Update platforms including ABM QuoteMaster and Smartsheet.
- Establish job folders on SharePoint.
Sales Reporting
- Generate daily monthend and adhoc Sales Reports for leadership leveraging PowerBi for enhanced reporting.
- Maintain and refine PowerBi Sales Report functionality.
Legal Coordination
- Act as the local contract manager for iReview ensuring contracts are correctly uploaded for US legal team review.
Design Team Collaboration
- Manage and improve the Design PowerBi Report.
- Create and maintain Smartsheets as requested.
- Update ABM with colleagues time sheets.
Sales Office Support
- Assist the Commercial Director in ensuring the seamless functioning of all sales office operations.
Office Management
General Support
- Facilitate crossdepartment workflows using inhouse tools like Smartsheet.
- Provide Excel and Smartsheet support across teams including formulas automation and workflow enhancements.
- Train colleagues on apps and the Office 365 platform to improve operational efficiency.
- Promote practical use of Convergints InfoNation resources.
Executive Support (SMT)
- Generate Power BI Reports for senior management.
- Provide administrative support organize Town Halls and coordinate slide decks adhering to corporate style guidelines.
Corporate Social Responsibility Day (CSRD)
- Organize the annual CSRD including charity collaboration team leader engagement material preparation and event logistics.
- Coordinate with Marketing and HR for event apparel and team assignments.
Quality & Processes
- Assist the Irish and UK Quality teams to ensure compliance with all certification standards.
- Promote best practices for SharePoint usage and folder structuring.
- Prepare documentation for ISO NSI and PSA audits.
- Streamline interdepartmental workflows for enhanced efficiency.
Support Functions
- Support colleagues across CTI and regions as needed ensuring team cohesion and productivity.
