Position Overview:
As an Office Operations Coordinator you will be responsible for managing a variety of key administrative functions that support our operations. You will oversee equipment inspections vendor relationships and customer feedback collection ensuring everything runs on schedule and within compliance. You will also play a key role in improving and documenting our operational processes to enhance efficiency.
Key Responsibilities:
Equipment Inspection Scheduling & Compliance:
- Track inventory of equipment with completed and upcoming inspections.
- Ensure timely scheduling and compliance of inspections.
- Register new equipment pieces in the state of Maryland as needed.
3rd Party Vendor Management & Scheduling:
- Manage relationships with thirdparty vendors ensuring timely and effective scheduling of services.
- Coordinate with vendors to resolve issues and ensure service expectations are met.
Scheduling Underground Marking Appointments (811 Locates):
- Coordinate underground marking appointments to ensure projects stay on track and are completed safely.
PostEvent Customer Feedback Collection (Review Requests):
- Collect and analyze postevent customer feedback to ensure high levels of customer satisfaction.
- Send review requests and track responses for continuous improvement.
Process & SOP Development:
- Help define document and execute standard operating procedures (SOPs) for office operations and backoffice functions.
- Continuously evaluate and improve processes to enhance efficiency

- Strong Organizational Skills: Able to manage multiple tasks and prioritize effectively in a fastpaced environment.
- DetailOriented: Attentive to the small details to ensure accuracy and compliance in all processes.
- Excellent Communication Skills: Strong verbal and written communication skills in English; comfortable coordinating with multiple parties both internally and externally.
- Systems & ProcessOriented: Ability to define document and execute standard operating procedures (SOPs) to improve efficiency.
