Our esteemed client an established MNC is searching for an Admin Officer (Production Department):
Job Responsibilities:
- Collect and maintain records of working drawings received from the design team.
- Sort and distribute drawings to relevant departments including Sheet Metal and Assembly sections.
- Perform general filing for the Production Department ensuring proper organization and good housekeeping practices in the office.
- Provide coverage for the Production Coordinator including prepacking arrangements during their absence.
- Monitor the expiry dates of safety certifications for production staff and collaborate with the Administration Department to arrange training.
- Track servicing schedules for equipment and machinery under service contracts. Coordinate servicing with vendors or suppliers as required.
- Monitor expiry dates for regulatory licenses and other workplace safety reports (e.g. Noise Monitoring Pressure Vessel Lifting Equipment).
- Coordinate renewals and submissions with relevant suppliers or vendors.
- Manage requisitions for production office supplies including personal protective equipment (PPE) such as safety goggles gloves and uniforms.
- Maintain and replenish inventory as needed.
- Process claim forms for allowances and medical expenses for submission to the Production Manager.
- Compile sixmonth attendance records including medical leave unpaid leave and lateness for Attendance Incentive review and approval by the Production Manager.
- Assist with lunch order coordination and payment collection for production staff.
- Conduct general administrative tasks including phototaking and facial recognition registration for new production staff.
- Handle incidental clerical tasks as assigned by the Production Manager.
- Take on additional duties or responsibilities as delegated by supervisors.
- Adhere to the procedures outlined in the Quality Management System to ensure effective implementation and control.
Job Requirements:
- Possess at least an Olevel or equivalent
- Proficiency in administrative tasks and organizational skills.
- Proficient in administrative coordination and recordkeeping.
- Strong attention to detail and ability to handle multiple tasks efficiently.
- Familiarity with regulatory and safety compliance requirements is advantageous.
- Excellent communication and interpersonal skills for coordination with internal teams and external vendors.
- Willingness to take on additional responsibilities and adapt to evolving business needs.
Additional Information:
- Salary: Up to SGD 2800 AWS VB (2 Months)
- Working Location: Tuas Crescent
- Working Hours: Monday to Friday 8:15 AM 5:45 PM
- Lunch subsidy and company transport is provided
