Job Description

The office manager ensures the seamless management of mandatory administrative and operational matters for the country organization delivering results on time in full to prevent any legal financial or regulatory complications. This role encompasses facilities management health and safety car fleet administration and general administrative support while embodying a proactive autonomous and clientoriented mindset.

Key Responsibilities:

Facilities Management

  • Manages upkeep of all maintenance contracts pertaining to the building
  • Arranges for contractors to attend the site to remedy any faults
  • Raises purchase orders and codes invoices to ensure payment is made on time

Health and Safety

  • First point of contact for all H & S matters for the local organization
  • Responsible for local H & S Policy (including updates according to changing legislation and ensuring the policy is available for employees to view)
  • Manages and regularly updates all risk assessments

Support for All Fines and Other Mandatory or Local Administrative Topics

  • Coordinates and directs to the relevant department local authority correspondence
  • Managing administration and documentation required in other ad hoc procedures special projects or other needs which arise locally
  • Other ad hoc administrative tasks as needed from time to time to support the business

Car Fleet Administration

  • Manages and administers local car fleet (ordering cars managing delivery process supporting employees on the process in case of accidents)
  • Provides information to employees on car fleet insurance (additional drivers process coverage for out of country trips)

Reception and Administration Duties

  • Manages incoming and outgoing post and parcels including franking machine upkeep
  • Answers the telephone welcomes visitors and is first face of Amer Sports

Insurance

  • Manages local insurances with external provider
  • Manages annual renewal of insurance policies
