Virtual Rockstar is looking for a detailoriented techsavvy and reliable fulltime Executive Assistant to join our clients medical team. The ideal candidate will have strong communication and organizational skills with the ability to multitask in a fastpaced dynamic environment. As the Executive Assistant you will be responsible for a variety of administrative and executive support tasks that will help optimize the practice s workflow and ensure smooth operation.

Our client is a premier concierge medical practice based in California dedicated to providing a unique whiteglove healthcare experience to clients ranging from primary care to cuttingedge longevity services. They are seeking a highly organized and proactive Executive Assistant to support the daytoday operations of the practice and ensure the delivery of exceptional service to their clients.
Responsibilities:
Calendar Management & Scheduling: Efficiently manage appointments meetings and events for both professional and personal commitments.
Email Management & Correspondence: Handle and prioritize incoming emails respond on behalf of the executive and maintain organized email systems.
Travel Planning & Coordination: Plan and prepare detailed travel itineraries book flights accommodations and ground transportation.
Research & Information Gathering: Conduct research for scientific journal articles medical information and other relevant content.
Project & Task Coordination: Help manage and track various projects ensuring timely completion of tasks.
Scribe and Documentation: Attend meetings or calls to take notes transcribe and prepare documents and presentations.
Content Creation & Design (Canva): Create engaging visuals for social media and assist with designing promotional materials.
Event & Retreat Coordination: Plan and organize retreats events and gatherings ensuring all details are handled smoothly.
Grocery & Shopping Management: Oversee personal and family shopping needs including grocery lists and online purchases.
Home Services Coordination: Organize and schedule home maintenance and personal service appointments.
Gift Shopping & Research: Research purchase and coordinate giftgiving for clients team members or family.
Standard Operating Procedures (SOPs): Help create and document SOPs and training tools for staff and processes.
Miscellaneous Administrative Tasks: Handle a variety of administrative duties including setting reminders managing personal and family appointments and more.
Experience in a medical or healthcare setting (concierge medicine experience a plus).
Proficiency with Google Workspace (Docs Sheets Drive Calendar).
Familiarity with Elation EMR Heads Up Health and Canva is a plus.
Strong attention to detail and excellent organizational skills.
Ability to work independently and efficiently managing multiple priorities.
Excellent communication skills (verbal and written).
Proactive selfmotivated and comfortable with technology.
