JOB SUMMARY:
This position offers an ideal opportunity for someone who is eager to advance a career in the reproductive health gender or global health sectors. The role comprises writing coordination administrative and some technical support functions to the Vice President (VP) of Programs and their teams. The successful candidate will be someone who enjoys managing a mix of important routine tasks taking on different challenges and learning new skills in a dynamic work environment.
Specific duties include but are not limited to planning domestic and international travel for the VP of Programs; preparing payment requests for invoices; managing the VPs calendar; coordinating and minuting key program meetings; facilitating programmatic and financial pipelines project startup and closeout meetings; updating key content in departmental sections of the intranet; coordinating project and departmental work flows; organizing the departmental work plan; writing editing and formatting donor reports and other documents (e.g. research reports or manuscripts); and coordinating and organizing internal and external meetings for the organization including conferences.

REQUIREMENTS:
Must possess the following requirements with or without a reasonable accommodation.
Bachelors degree in social sciences public health business or public administration or related degree.
Demonstrated interest in international development public health and/or global health.
Ability to review edit and write reports in English.
Experience taking and transcribing grammatically correct and concise meeting minutes.
Ability to coordinate and administer meetings using digital communication platforms/ applications.
Ability to use Outlooks business email system managing more than one user account simultaneously shared calendar usage conference room booking recurring events email attachments and calendar invites.
Possess technical software skills: formatting layout and design capabilities.
Experience supporting work planning developing timelines and tracking progress against deliverables.
Interest and some experience in one or more of the following areas: Adolescent and Young peoples Sexual and Reproductive Health Gender Equality and Social Inclusion SRH clinical quality as well as monitoring evaluation and research.
Strong writing skills and fluency in English and French.
ESSENTIAL SOFT SKILLS:
Readiness to work in a highly matrixed management environment with accountability to the VP of Programs.
Experience working in an autonomous position with minimal supervision.
Readiness to maintain confidentiality of discussions in meetings donor contacts etc.
Strong organizational skills and attention to detail.
Ability to synthesize information from multiple sources.
Ability to adapt to changing priorities and propose solutions to problems.
Desire to learn grow and make an impact with a proactive mindset.
Ability to work across and maintain positive relationships across multiple departments and country offices.

PREFERRED SKILLS ABILITIES AND FUNCTIONS:
Masters Degree in Social Sciences Public Health or Public Administration or 12 years of professional experience (including internships).
Experience working in the notforprofit field.
Experience coordinating and managing large conferences and meetings.
Experience making travel arrangements and following up with payment of expenses.
Experience working with country offices/programs preferably in Africa or Asia.
Knowledge of USAID and other donor rules and regulations.
Ability to understand and navigate both the internal dynamics of an organization and the external political environment to achieve desired outcomes
