Job Description

Job Overview:

We are hiring on behalf of our clients in the oil and gas industry a professional and organized Receptionist. The ideal candidate will be the first point of contact for visitors and callers ensuring that all reception activities are managed effectively and professionally. This role requires excellent communication skills a positive demeanor and the ability to multitask in a dynamic environment.

Key Responsibilities

Client Interaction:

  • Greet and welcome clients visitors and guests in a courteous and professional manner.
  • Provide information and assistance to clients as needed.

Office Management:

  • Book and manage meeting rooms ensuring they are prepared for scheduled meetings.
  • Arrange and coordinate courier services for document and package deliveries.
  • Maintain the reception area keeping it clean organized and presentable at all times.

Communication Handling:

  • Answer incoming phone calls promptly and professionally.
  • Forward and route phone calls to the appropriate departments or personnel.
  • Screen and manage phone calls to ensure effective communication flow.

Document Management:

  • Sort organize and distribute incoming documents and mail.
  • Assist with filing and maintaining electronic and physical records.

Administrative Support:

  • Provide general administrative support to the office as required.
  • Assist with scheduling appointments and managing calendars.

Qualifications and Skills

Education:

  • Minimum of SPM (Sijil Pelajaran Malaysia) required diploma or degree preferred.

Experience:

  • Proven experience as a receptionist administrative assistant or similar role.
  • Experience in the oil and gas industry is a plus.

Skills:

  • Excellent verbal and written communication skills in Bahasa Malaysia and English.
  • Strong organizational and multitasking abilities.
  • Proficient in using office software (e.g. Microsoft Office)
  • Professional demeanor and a positive attitude.

Personal Attributes:

  • A friendly presentable and approachable personality.
  • Detailoriented with a high level of accuracy.
  • Ability to work independently and as part of a team.
