Records Management Clerk (Government)
A government institution is seeking a highly motivated and skilled records management clerk to support its Corporate Purchasing department within the Procurement Services Branch. This position focuses on ensuring the proper organization maintenance and migration of official records within the Corporate Purchasing SharePoint repository. The role is integral to ensuring compliance with records management guidelines maintaining accessibility of records and supporting organizational policies through structured and transparent processes.

7month contract with a maximum extension term of 3 months.
Fulltime position: 36.25 hours per week.

Work schedule: schedule from 8:15 am to 4:30 pm.

Mandatory Training:
Upon joining the successful candidate will undergo comprehensive mandatory training to ensure alignment with organizational standards. This includes but is not limited to the Freedom of Information and Protection of Privacy Act Security and Cybersecurity protocols Information Management practices and Respect in the Workplace guidelines. Additional training both mandatory and optional may also be introduced to support ongoing professional development and compliance.
Responsibilities:
Organize and categorize official records renaming documents according to established nomenclature requirements.
Maintain accurate uptodate records inventories ensuring proper classification for easy retrieval.
Assign relevant metadata for tracking retrieval and archiving purposes aligning with departmental standards.
Create and maintain clear comprehensive process documentation for accessing updating storing and disposing of records.
Collaborate with departments to align process documents with legal compliance and operational requirements.
Develop systems to enhance records retrieval efficiency and train staff on procedures for records access and handling.
Ensure records management practices adhere to departmental and organizational compliance standards.
Maintain strict confidentiality and security protocols for sensitive data and records.
What you will need to succeed:
High school diploma or GED.
2 years of experience in an Information Management environment working with records/documents.
2 years of experience in records management.
Records and archive management education (preferred).
2 years of experience using Microsoft SharePoint.
2 years of experience with the use of Central Administration in a SharePoint environment (preferred).
