Position Purpose:
The Admin Officer plays a crucial role in ensuring the efficient and smooth operation of our organization. This role encompasses a wide range of responsibilities including administrative support office management and coordination of various tasks. The ideal candidate will be detailoriented organized and able to manage multiple tasks simultaneously contributing to the overall success and productivity of the organization.
Education & Professional Qualification:
- Degree(s)/Major(s): Bachelors or Masters in a relevant field from a reputed local/foreign University.
- Certification(s): Not mandatory but certification in a relevant field is a plus.
Experience:
Minimum 1 to 2 year experience in Administrative role
Responsibilities:
- Provide comprehensive administrative support to ensure smooth office operations with HR and finance.
- Organize and maintain office inventory records and documentation systems.
- Handle correspondence emails and phone calls efficiently.
- Oversee petty cash flow maintain records and reconcile expenditures.
- Prepare document and process invoices receipts and purchase orders.
- Manage office supplies inventory and place orders to vendors before running out.
- Schedule and coordinate employee accommodations parking and travel arrangements.
- Ensure proper functioning of office equipment and liaise with vendors for repairs or services.
- Ensure adherence to company policies and procedures.
- Assist in the development and implementation of administrative systems and policies.
Requirements
- Generate reports related to office operations expenses and compliance.
- Identify and report discrepancies in financial and operational records.
- Maintain confidentiality and secure sensitive information.
- Act as a point of contact between departments to facilitate communication.
- Organize company events meetings and other activities.
- Track project timelines and assist in task prioritization.
- Address and resolve administrative or operational issues effectively.
- Provide solutions to improve administrative processes and efficiency.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite and office management tools.
- Strong problemsolving skills and attention to detail.
