Job Description

Roles and responsibilities

Coordination and management of the project documentation on Aconex
Maintaining the project tracker
Creating workflows assigning the document
QAQC of all documentation as per the requirements standards
Provides technical guidance to lower-level staff assigned to the Document Control department. Prioritizes, assigns and monitors workload to ensure project deliverables meet schedule. Establishes clear/concise work standards and goals for staff.
Document Management
Document Control Systems: Develop, implement, and maintain document control processes and systems for efficient management and access.
Classification and Organization: Ensure documents are properly classified, indexed, and archived for easy retrieval.
Version Control: Monitor and manage document versions to prevent duplication or outdated information.
Compliance and Standards
Regulatory Compliance: Ensure documentation adheres to relevant industry standards, regulations, and organizational policies.
Audits and Reviews: Prepare and support audits by providing accurate and accessible documentation.
Retention Policies: Establish and enforce document retention and disposal policies to comply with legal and organizational requirements.
Quality Assurance
Accuracy and Consistency: Ensure that documents meet quality standards, are error-free, and align with organizational templates and guidelines.
Change Management: Oversee and document changes to procedures, policies, and other controlled documents.
Technology and Tools
System Implementation: Manage document control software and systems, including upgrades and user training.
Data Security: Ensure the confidentiality, integrity, and security of sensitive documents through appropriate access controls and permissions.


Desired candidate profile

  • Bachelors degree with 15+ years of relevant work experience, including 5+ years of prior document control experience in Aconex.
  • Proficiency in Aconex MS Office with expertise in Microsoft Word, PowerPoint and Excel.
  • Assignments will require a working knowledge of Electronic Document Management Systems.
  • Good written and oral communication, organizational, and interpersonal skills, as well as a demonstrated ability to interact effectively with project personnel and management.
  • Knowledgeable of document control work processes
  • Utilization of electronic systems for document management, as well as corporate procedures related to document management.

What Desired Skills You'll Bring

  • Provides training and development, reviews work produced, completes performance evaluations, conducts employee counseling, and takes corrective action as necessary.
  • Resolves non-routine help desk issues and inquiries related to document controls (e.g., resolving access issues).
  • Provides on-demand request services to the PM, delivery order managers, functional group leads, and staff.
