Job Description

  • Maintain strong client relations and ensure that convention specifications are communicated and executed for a successful meeting experience for the attendees.
  • Are responsible for their event contracts and making sure both parties meet their obligations.
  • Assist meeting planner with their coordinating details and services.
  • Coordinates and handles all logistics including outside vendors and all hotel services assigned to the meeting planner.
  • Keep an open line of communication to all departments necessary during the planning process.
  • Monitor and enforce program deadline dates and work with clients to release meeting space not needed to maximize hotel revenues.
  • Produce and distribute convention resume and communicate any changes and updated information to the departments.
  • Attend weekly BEO meetings and any other meetings dealing with the group.  Set up precon and debriefing meetings as needed.
  • Responsible for financial management of each groups account.
  • Participate in site inspections which may also include entertaining the client on property for cocktails or food.
  • Responsible for maintaining existing catering accounts as well as actively soliciting new business.
  • Conducts general office and administrative duties including:  detailing of events diagrams responding to incoming phone calls produce memos booking forms banquet event orders etc.
  • Responsible for educating themselves on current food and beverage trends.
  • Works extended hours including weekends to accommodate a client needs.
  •  Represent the IP in a positive image when on and off property.

 


Qualifications :

  • Must be detailoriented with strong organizational and multitasking skills.
  • Must have strong working knowledge of banquet functions room sets A/V and Food and Beverage.
  • Must have exceptional customer skills and communication skills.
  • Must be able to obtain/maintain any necessary licenses and/or certifications.


Additional Information :

  • Constant sitting listening reading writing speaking
  • Frequent walking distances of 10 to 30 feet between various areas of the department
  • Occasionally carrying pushing and pulling of items up to 20 lbs
  • Occasionally stooping walking distances up to 100 ft throughout the property
  • Constant concentration required amid numerous distractions
  • Frequently using wrist motion dexterity eye/hand coordination writing and typing
  • Work is performed indoors in a climate controlled environment
  • Occasional physical labor is required indoors/outdoors to assist with banquet set up
