Job Description

Position Description

The Office Attendant will be responsible for keeping the office environment clean healthy and safe. S/He will also provide some administrative support to the office. This is a fulltime position based in Kingston Jamaica reporting to the Deputy Chief of Party Finance and Operations.

Essential Functions but are not limited to: 

Janitorial Services

  • General office cleaning inside and outside surroundings (dusting sweeping mopping scrubbing wiping polishing etc.) 
    • Cleaning windows walls ceilings and vents.
    • Cleaning and dusting of offices hallways kitchen restrooms meeting rooms furniture and equipment to meet health standards.
    • Empty waste baskets and transport to waste disposal area
    • Keeping storage areas tidy and clean.
    • Cleans bathrooms and replenishes articles such tissues soaps;
    • Cleans and disinfects telephone handsets; refrigerator and microwave oven; and other office appliances
    • Cleans and maintains other office appliances as appropriate;

Inventory Maintenance

  • Maintains a kitchen and bathroom inventory eg. Initiating purchase requests for kitchen and cleaning requirements plus toiletries 
  • Keeps stocks records and reconcile them all the time.
  • Raises requests for stock replenishments on staff refreshments.
  • Notifies the office management of occurring defectiveness and needs for repairs 

Office Assistance

  • Assist with meeting event logistics:
    • Assisting preparing and plating of refreshments before or during meetings and cleaning after consumption (as required)
    • Supporting preparation of conference room ensuring appropriate seating and materials are available.
  • Photocopies/Binds office documents as necessary
  • Supports staff in moving documents around the office.
  • Provides backup to administrative staff by receiving and hosting visitors with hospitality answering questions forwarding messages etc.
  •  Accompanies the drivers to the banks and other businesses or institutions to collect and deliver correspondence documents and to do cheque lodgements and pay bills.
  • Collects correspondence delivered to office/security posts and delivers to the Office
  • Collects intra office correspondence and delivery on the compound;
  • Prepares boardroom/meeting areas and serves refreshment for special meetings/guests.
  • Ensures that tablecloths and napkins are always clean and ready to use by washing
  • ironing and folding them;
  • Ensures that tables and chairs in the Conference Room is properly placed and cleaned;
  • Ensures that pantry/ lunch room are kept clean and tidy by washing all glasses cups
  • saucers and plates on a daily basis;
  • Performs any other duties as assigned.

Reporting and Organizational Relationships:

This position reports to the Deputy Chief of Party Finance and Operations. 


Qualifications :

The candidate for the position shall have at a minimum the following qualifications:

Education:

  • Secondary education preferred (completion of at least Grade 9) 

Skills and Experience:

  • 1 year of related professional experience 
  • Excellent interpersonal relationships
  • Proven punctuality and ability to work as part of a team and excellent references a must.
  • Ability to work in a multicultural multiethnic environment with sensitivity and respect for diversity.

Language:

  • Literacy in English required
  • Proficiency in spoken English and Jamaican Creole strongly preferred.

Physical  Demands:

  • Sustained standing walking bending stooping (up to 8 hours/day)
  • Ability to lift and carry up to 50 lbs.
