Job Description

If you are hired provisionally in this title you must take and pass the Civil Service Exam when it becomes available to be eligible for continued employment.

Office of Fiscal Operations is seeking a highly responsible individual to serve as a Claiming Associate who is critical to tracking and cataloging of all BCR claims as well as the submission of all DSS

The Office of Fiscal Operations is requesting two (1) Clerical Associate IV to function as a Claiming Associate. who will:

Manage the scanning and indexing of historical claiming data which includes approximately 3200 DSS/HRA/DHS and other agency claims submitted annually for Federal and State reimbursement on an accessible shared drive for all Bureaus staff as a digital reference.
Prepare claiming folders for certification and executive signature approval for all programmatic administrative and special project claims submitted for Federal and State reimbursement once FinalAccepted in the NYS OTDA Automated Claiming System (ACS).
Assist with the maintenance of the Bureaus claiming deadlines tracking database by cataloging claiming documents from different data sources and maintaining digital folders.
Assist with the assigning of claim tracking transmittal numbers issued to the Bureaus Claim Prepares used to track and identify all claims submitted for reimbursement.
Assist with the management of the distribution of scanned claims to HRAs Division of Revenue Control and Analysis (DRCA) to post revenue in the Citys Financial Management System (FMS) to the Office of Budget Administration (OBA) for budget purposes of analysis to the NYC Office of Management and Budget (OMB) for revenue monitoring and budget oversight and to NYS OTDA for claiming compliance and timely reimbursement.
Manage the DSS HUD Grants which includes tracking monitoring and claiming approximately $20 million in expenses for reimbursement while adhering to all Federal and State regulations.
Acquire track and reconcile monthly expense reports from multiple applications including the Citys Financial Management System (FMS) to ensure that all expenses incurred are accounted for and claimed accurately.
Prepare annually the physical packing of all claims source documents and the disposition report for archiving claiming documents to the City Warehouse.
Assist the Director of the Bureau with financial data computations and analysis for claiming purposes of grants and special projects.


Qualifications :

Qualification Requirements
A fouryear high school diploma or its educational equivalent approved by a States department of education or a recognized accrediting organization and one year of satisfactory clerical experience.
Skills Requirement
Keyboard familiarity with the ability to type at a minimum of 100 key strokes (20 words) per minute.
