Job Description

United Living Group is comprised of four complementary businesses all dedicated to realising our vision of creating a connected sustainable future. Our New Homes business provides muchneeded buildtorent and affordable housing solutions addressing the housing challenges facing our communities.

 We are seeking a highly organized and personable Office Manager to join our team. This role is crucial to ensuring the smooth operation of our office and providing essential support to our site team. The ideal candidate will be responsible for frontofhouse duties managing office supplies coordinating with cleaning staff and assisting with document management. This position requires excellent communication skills a professional demeanor and a proactive approach to problemsolving.

Under the guidance of your line manager you will be responsible for:

Key Responsibilities

  • Front of House Duties:

    • Meet and greet all site visitors ensuring a warm and professional welcome.
    • Manage the visitor log and ensure all guests are directed to the appropriate personnel.
  • Office Supplies Management:

    • Monitor and replenish office supplies including stationery kitchen supplies and other essentials.
    • Coordinate with suppliers to ensure timely deliveries and manage inventory levels effectively.
  • Cleaning Coordination:

    • Manage and coordinate the office cleaning schedule ensuring the office is maintained to a high standard.
    • Liaise with cleaning staff to address any issues and ensure tasks are completed as required.
  • Support to Site Team and Document Controller:

    • Assist the site team and Document Controller with filing and managing paperwork ensuring all documents are organized and accessible.
    • Provide general administrative support including photocopying scanning and archiving documents.
  • Meeting Support:

    • Attend meetings as required and record minutes ensuring accurate documentation of discussions and action items.
    • Distribute meeting minutes to relevant parties in a timely manner.
  • IT and Office Systems:

    • Utilize office software and systems effectively to support administrative tasks.
    • Troubleshoot basic IT issues or coordinate with IT support as needed.


 


Qualifications :

Required Skills and Qualifications

  • Strong IT skills including proficiency in Microsoft Office Suite (Word Excel Outlook PowerPoint).
  • Excellent communication and interpersonal skills with the ability to interact professionally with visitors and team members.
  • Wellpresented and professional demeanor representing the company effectively.
  • Strong organizational skills with the ability to multitask and prioritize tasks efficiently.
  • Previous experience in a similar role is advantageous but not essential.

Preferred Qualifications

  • Previous experience in office management reception or a similar role.
  • Familiarity with document control and office administration in a construction or site environment.
