Position Summary:
We are seeking a detailoriented and proactive Recruiting/Marketing Assistant to support our staffing operations. This role will assist with recruiting processes employee onboarding marketing initiatives and administrative HR tasks to ensure smooth and efficient staffing services.
Key Responsibilities:
Recruitment Support:
- Coordinate and schedule interviews between candidates and hiring managers.
- Post job openings on various platforms and manage application tracking.
- Assist in sourcing candidates through job boards databases and social media.
- Conduct initial phone screens and follow up with candidates as needed.
Onboarding & HR Administration:
- Facilitate new hire onboarding including collecting documentation and ensuring compliance with policies.
- Maintain accurate employee records and update the HRIS as required.
- Handle background checks reference checks and drug screenings.
Staffing Coordination:
- Act as a liaison between clients and candidates to ensure clear communication.
- Monitor and manage assignment updates extensions and endofassignment notices.
- Resolve employee inquiries related to payroll scheduling or benefits in a timely manner.
General Administrative Tasks:
- Prepare reports on recruiting metrics and employee status.
- Organize and maintain office files both digital and physical.
- Support HR and recruitment teams with adhoc projects and events.
Qualifications:
- Associates or Bachelors degree in Human Resources Business Administration or related field preferred.
- Proficient with ATS /CRM and HRIS software including familiarity with Ceipal HubSpot and Rippling.
- Skilled in using marketing tools such as email marketing print materials and related resources.
- Experienced with Canva and Hubspot Marketing Campaign to support creative marketing and staffing operations. Strong organizational skills with the ability to multitask and meet deadlines.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite: experience with recruiting platforms is a plus.
- High level of discretion and ability to handle confidential information.
