Job Title: Receptionist

Schedule:

  • FullTime
  • Monday to Friday 8:00 AM 5:00 PM (EST)

The firm specializes in handling complex family law cases with a focus on modern technology and efficient processes to deliver exceptional legal services. This forwardthinking practice is expanding to meet increasing demand and is seeking a dedicated receptionist to join their team.

Job Description:
As the first point of contact for clients you will play a vital role in managing client communications and supporting the firm s operations. This role is perfect for someone with excellent customer service skills who thrives in a remote professional environment.

Key Responsibilities:

  1. Client Communication:

    • Handle inbound calls promptly and professionally providing a positive first impression.
    • Direct calls to appropriate team members.
    • Conduct initial intake for potential clients gathering essential information and scheduling consultations.
    • Follow up with client inquiries nurturing leads and ensuring timely responses.
  2. Administrative Support:

    • Log call details and client information into the firm s CRM system (Pipedrive).
    • Assist with scheduling and calendar management for consultations.
    • Organize and document all client communications.
    • Maintain confidentiality and handle sensitive client information with professionalism.
  3. Technology Utilization:

    • Use and manage CRM systems particularly Pipedrive to ensure accurate and uptodate client records.
    • Efficiently handle a streamlined intake process using designated software.


Requirements

Qualifications:

  • Previous experience in a receptionist customer service or administrative role preferably in a legal or professional setting.
  • Excellent verbal and written communication skills with a professional and empathetic tone.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and prioritize effectively in a remote work environment.
  • Proficient in CRM systems and office software with experience in Pipedrive preferred.
  • Highspeed internet connection and a quiet professional home office setup.
  • Basic understanding of legal terminology or a willingness to learn quickly.


Previous experience in a receptionist, customer service, or administrative role, preferably in a legal or professional setting.
