Job Description:
As the first point of contact for clients you will play a vital role in managing client communications and supporting the firm s operations. This role is perfect for someone with excellent customer service skills who thrives in a remote professional environment.
Key Responsibilities:
Client Communication:
- Handle inbound calls promptly and professionally providing a positive first impression.
- Direct calls to appropriate team members.
- Conduct initial intake for potential clients gathering essential information and scheduling consultations.
- Follow up with client inquiries nurturing leads and ensuring timely responses.
Administrative Support:
- Log call details and client information into the firm s CRM system (Pipedrive).
- Assist with scheduling and calendar management for consultations.
- Organize and document all client communications.
- Maintain confidentiality and handle sensitive client information with professionalism.
Technology Utilization:
- Use and manage CRM systems particularly Pipedrive to ensure accurate and uptodate client records.
- Efficiently handle a streamlined intake process using designated software.
Requirements
Qualifications:
- Previous experience in a receptionist customer service or administrative role preferably in a legal or professional setting.
- Excellent verbal and written communication skills with a professional and empathetic tone.
- Strong organizational skills and attention to detail.
- Ability to multitask and prioritize effectively in a remote work environment.
- Proficient in CRM systems and office software with experience in Pipedrive preferred.
- Highspeed internet connection and a quiet professional home office setup.
- Basic understanding of legal terminology or a willingness to learn quickly.
Previous experience in a receptionist, customer service, or administrative role, preferably in a legal or professional setting.
