Job Description

This is a remote position.

Job highlights:

  • Contract: Independent Contractor
  • 40 hours per week schedule during business hours between 8:00am to 5:00pm New South Wales Australia time

Key Responsibilities:

Operational Management:

  • Scheduling & Calendar Oversight: Manage companywide and Director s schedules bookings and calendar coordination to ensure seamless operations.
  • Platform & Compliance Management: Oversee and maintain key business platforms such as Momence and Teachworks for tracking lesson credits reenrollment and student compliance. Conduct weekly health checks to ensure smooth operations.
  • Invoicing & Payment Tracking: Issue and track invoices follow up on overdue payments and maintain detailed financial records in Teachworks/Momence.
  • Onboarding & Offboarding: Manage endtoend onboarding and offboarding processes for students and tutors ensuring a smooth transition and compliance.
  • Feedback & Review Management: Organize termly feedback calls distribute feedback forms and conduct monthly Google Review outreach to enhance client experience and gather insights for improvement.

Client Growth & Sales Development:

  • Client Relationship & Sales Management: Oversee client relationships with a focus on growth monitoring sales KPIs and managing followups to ensure client satisfaction and retention.
  • Sales & Growth Reporting: Track and report on key business metrics leveraging data from platforms such as Excel Teachworks and Momence to inform growth strategies.
  • Document & Marketing Preparation: Prepare proposals presentations and marketing materials in Canva Notion and Google Drive to support business development initiatives.
  • Account Reconciliation: Manage accounts reconciliation oversee the business bank account and maintain accurate financial records with XERO.

Team & Capacity Building:

  • Tutor & Team Coordination: Identify recruit and interview new tutors ensuring team growth aligns with client demand. Monitor tutor capacity to support optimal student acquisition.
  • Contract Management & Compliance: Oversee contract renewals and ensure all tutors are compliant with company policies maintaining standards as the business scales.
  • Strategic Support for Growth: Collaborate with leadership to identify and pursue strategic opportunities that will help scale the business effectively including tutor capacity planning and new client acquisition.

Requirements:

  • Proven Experience: 3 years in business development operations management or client relations.
  • Technical Proficiency: Strong familiarity with client management tools (Momence Teachworks Slack) and financial systems (XERO).
  • Organizational Skills: Demonstrated ability to manage complex schedules invoicing and platform health checks efficiently.
  • ClientCentric Mindset: Excellent communication and relationshipbuilding skills with experience managing client relationships to support growth.
  • DataDriven Approach: Strong analytical skills to monitor and report on sales KPIs business metrics and growth opportunities.
