Overview
The Personal Assistant (PA) for the Director plays a crucial role in ensuring the smooth and efficient operation of the executives office. The PA acts as the primary point of contact between the Director and internal/external stakeholders managing the Directors schedule communications and administrative tasks to help facilitate decisionmaking and strategic planning. Key to this role is the ability to anticipate the needs of the Director manage multiple priorities and operate with discretion and professionalism. In an environment where the pace is fast and details matter greatly the Personal Assistant is pivotal in enabling the Director to focus on highlevel responsibilities while ensuring that all support tasks are handled seamlessly. Key Responsibilities
- Manage the Directors calendar scheduling meetings and coordinating travel arrangements.
- Prepare and edit correspondence reports and presentations as required.
- Act as a liaison between the Director and other executives and staff members.
- Screen phone calls and emails to filter important communications and requests.
- Organize and maintain files and records ensuring confidentiality.
- Assist with the planning and coordination of meetings conferences and events.
- Conduct research and gather information to prepare for meetings and projects.
- Take minutes during meetings providing concise summaries and action points.
- Manage expenses invoice processing and budget tracking related to the Directors activities.
- Handle personal errands and administrative tasks for the Director as needed.
- Monitor deadlines for projects and ensure timely completion of deliverables.
- Provide support for special projects and initiatives as directed by the Director.
- Update and maintain databases ensuring accurate contact information and records.
- Prepare travel itineraries accommodations and logistics for domestic and international trips.
- Maintain a high level of professionalism and confidentiality in all interactions.
Required Qualifications
- High school diploma or equivalent; associates or bachelors degree preferred.
- Proven experience as a personal assistant or in a similar administrative role.
- Strong knowledge of office management systems and procedures.
- Proficient in Microsoft Office Suite (Word Excel PowerPoint Outlook).
- Excellent verbal and written communication skills.
- Demonstrated ability to manage multiple tasks efficiently under tight deadlines.
- Experience in handling confidential information with discretion.
- Strong problemsolving skills and an ability to remain calm under pressure.
- Experience with calendar scheduling and travel management tools.
- Ability to build and maintain professional relationships across various levels of the organization.
- Strong organizational skills with a keen attention to detail.
- Adaptability to changing work priorities and technologies.
- Multilingual skills are a plus.
- Familiarity with project management tools is advantageous.
- Valid drivers license may be required for travelrelated duties.
