Job Description

Position: Executive Assistant to MD
Department: Administration
Location: Bahadurgarh
Reporting To: Managing Director (MD)
Salary 18k 22k CTC

Key Responsibilities:

Administrative Support:

  1. Manage the MD s calendar schedule meetings appointments and travel arrangements.
  2. Prepare and edit correspondence reports presentations and other documentation as required.
  3. Act as a liaison between the MD and internal/external stakeholders.

Project Coordination:

  1. Assist in the coordination and followup of projects ensuring timelines and deliverables are met.
  2. Prepare and track projectrelated reports and documents.

Meeting Management:

  1. Organize and coordinate meetings including preparing agendas taking minutes and distributing them to relevant parties.
  2. Track action items and ensure timely followup on decisions made during meetings.

Communication and Correspondence:

  1. Handle incoming and outgoing communications including emails calls and letters ensuring timely responses.
  2. Draft official communications memos and announcements on behalf of the MD.

Data Management and Reporting:

  1. Maintain and update confidential files documents and records.
  2. Compile data for reports presentations and performance reviews as required.

Travel and Event Management:

  1. Plan and coordinate travel arrangements including booking flights accommodations and local transportation.
  2. Organize events conferences and meetings ensuring all logistical aspects are covered.

Confidentiality and Discretion:

  1. Handle sensitive and confidential information with utmost integrity.
  2. Maintain a high degree of professionalism in all interactions.

Skills and Qualifications:

Education:

  • Bachelor s degree in Business Administration Management or a related field.

Technical Skills:

  • Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook).
  • Familiarity with project management tools and CRM software is a plus.

Soft Skills:

  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Ability to work under pressure and meet tight deadlines.
  • High level of discretion and confidentiality.
  • Strong interpersonal skills to interact with all levels of stakeholders.
