Position Overview:
The Dispatch Executive will be responsible for coordinating and overseeing the efficient dispatch of products ensuring timely deliveries managing transportation schedules and maintaining accurate records. This role requires strong organizational skills attention to detail and the ability to work in a fastpaced environment.
Key Responsibilities:
- Dispatch Coordination:
- Oversee and manage the daily dispatch operations ensuring timely and accurate deliveries.
- Coordinate with drivers warehouse staff and vendors to ensure efficient scheduling and dispatch of goods.
- Ensure that dispatches are in line with customer orders inventory levels and delivery deadlines.
- Order Management:
- Verify orders before dispatch to ensure accuracy in quantities products and shipping details.
- Create and maintain dispatch schedules ensuring that all orders are dispatched on time.
- Communicate any delays issues or changes to customers and stakeholders in a timely manner.
- Documentation & Record Keeping:
- Maintain accurate records of dispatched goods including shipment tracking delivery confirmations and invoices.
- Update internal systems with delivery statuses and ensure that all required documentation is processed correctly.
- Ensure compliance with company policies and industry regulations regarding dispatching deliveries and documentation.
- Logistics Support:
- Monitor and manage transportation routes to optimize efficiency reduce delays and minimize costs.
- Liaise with transportation providers to confirm availability and delivery times.
- Assist in managing inventory and stock levels to ensure proper scheduling of dispatches.
- Customer Service:
- Provide excellent customer service by addressing queries related to delivery status timelines and product issues.
- Resolve any complaints or delivery issues by coordinating with the relevant teams (e.g. customer service drivers warehouse).
- Team Collaboration:
- Work closely with the warehouse logistics and sales teams to ensure smooth operations.
- Collaborate with the procurement team to ensure timely availability of products for dispatch.
- ProblemSolving:
- Address and resolve any unexpected issues or delays during the dispatch process (e.g. transportation problems stock shortages).
- Find solutions to optimize delivery times and minimize disruptions to operations.
Qualifications:
- Education: High school diploma or equivalent. A degree or diploma in logistics supply chain management or a related field is preferred.
- Experience:
- Minimum of 2 years of experience in a logistics or dispatchrelated role.
- Prior experience in coordinating deliveries or working with dispatch systems is a plus.
- Knowledge of shipping and dispatching software is an advantage.
