Job Description

Key Responsibilities

1. Administrative Support to the Board:

  • Serve as the primary point of contact for all Board members.
  • Schedule coordinate and manage all Board meetings committee meetings and related events.
  • Prepare and distribute agendas meeting materials and minutes in a timely manner.
  • Ensure compliance with governance requirements including maintaining accurate records of Board activities.

2. Meeting Coordination:

  • Arrange logistics for meetings including booking venues setting up virtual meetings and coordinating travel for Board members.
  • Act as the liaison between the Board and internal/external stakeholders.
  • Attend meetings to take minutes document key actions and track followup items.

3. Communication and Correspondence:

  • Draft and manage communications on behalf of the Board including emails memos and reports.
  • Handle sensitive and confidential information with utmost discretion.
  • Ensure effective communication between the Board executive leadership and other stakeholders.

4. Document Management:

  • Maintain and organize Board files records and documents.
  • Ensure the secure storage and accessibility of Boardrelated materials.
  • Prepare presentations reports and documentation as requested by Board members or executives.

5. Strategic Support:

  • Assist with special projects initiatives and strategic planning activities as directed by the Board.
  • Conduct research and compile data to support decisionmaking and strategic discussions.
  • Provide proactive solutions to enhance Board efficiency and effectiveness.

6. Compliance and Governance:

  • Monitor compliance with company policies legal requirements and Board bylaws.
  • Support the preparation of annual reports audits and filings as required.
  • Assist in onboarding new Board members and maintaining Board orientation materials.


Requirements

Qualifications:

  • Education: Bachelor s degree in Business Administration Management or a related field.
  • Experience: Minimum of 3 years of experience as an Executive Assistant preferably supporting senior executives or Boards of Directors.
  • Skills:
    • Exceptional organizational and timemanagement skills.
    • Strong written and verbal communication skills.
    • Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook) and virtual meeting tools.
    • Ability to handle sensitive information with confidentiality and discretion.
    • Strong interpersonal skills and ability to work collaboratively with diverse stakeholders.

  • Ability to prioritize and manage multiple tasks under tight deadlines.
  • Professional demeanor with a proactive and problemsolving mindset.
  • Flexibility to adapt to changing priorities and work environments.
