Job Description

Filinvest Hotel: Grafik Pine House Baguio

Job Summary

The Receiving Clerk at Grafik Pine House Baguio managed by Chroma Hospitality Inc. a Filinvest Company is responsible for efficiently managing the receipt and inspection of goods delivered to the hotel. This role ensures that all incoming items meet quality standards and match purchase orders while maintaining accurate records of deliveries. The Receiving Clerk plays a vital role in supporting the hotels operational needs by coordinating with suppliers and internal departments.

Key Responsibilities:

  1. Receiving and Inspection:

    • Receive inspect and verify all deliveries against purchase orders and delivery notes.
    • Ensure the quality quantity and condition of items meet hotel standards.
  2. Documentation and RecordKeeping:

    • Maintain accurate records of received goods including invoices receipts and inventory updates.
    • Report discrepancies or damaged items to the Purchasing Manager or relevant department.
  3. Storage Coordination:

    • Ensure proper handling and storage of received items to maintain quality and prevent damage.
    • Coordinate with the storekeeper to update inventory and organize stock appropriately.
  4. Supplier Coordination:

    • Communicate with suppliers regarding delivery schedules and resolve any issues related to shipments.
    • Follow up on outstanding or delayed deliveries as needed.
  5. Compliance and Safety:

    • Adhere to hotel policies procedures and safety standards during the receiving process.
    • Ensure compliance with local regulations related to goods handling and storage.
  6. Collaboration:

    • Work closely with the purchasing kitchen and other departments to meet operational requirements.
    • Provide timely updates on deliveries and inventory status to relevant teams.

Qualifications:

  • High school diploma or equivalent; additional certification in supply chain or inventory management is a plus.
  • At least 12 years of experience in receiving warehousing or a similar role preferably in the hospitality industry.
  • Strong organizational and timemanagement skills.
  • Attention to detail and accuracy in verifying goods and documentation.
  • Basic knowledge of inventory systems and software.
  • Good communication and interpersonal skills.
  • Familiarity with safety and hygiene standards related to goods handling.
