Summary:
We are seeking a highly skilled and detailoriented Executive Assistant to support our client a dynamic AIdriven company specializing in sales and customer success solutions. This role offers an exciting opportunity to work with cuttingedge technology while providing crucial support to the executive team.
Key Responsibilities:
Customer Success Support
- Compose and format emails following specific structure.
- Set followups and take comprehensive notes during and after client meetings.
- Assist in preparing and formatting client communications.
- Handle notetaking and postmeeting task delegation for onboarding sessions and weekly client syncs.
- Prepare detailed summaries and relevant client metrics before meetings.
Sales Operations
- Manage executive calendars to prevent scheduling conflict.
- Coordinate meeting followups and sales process scheduling.
- Maintain pipeline hygiene and assist with CRM management (HubSpot).
- Support esignature processes and send deal documents to customers postsales calls.
Administrative Tasks
- Manage email communications efficiently using advanced email to.
- Coordinate officerelated tasks including assistance with finding office.
- Handle travel bookings and logistics for ongoing trips.
- Manage accounts payable (AP) tasks including following up on unpaid invoices.
- Assist with LinkedIn activities such as engaging with posts and managing inbox.
Marketing Support (Ad Hoc)
Assist with seasonal marketing efforts including email sequences and gifting campaigns.
Requirements
Required Skills and Qualifications:
- Proficiency in HubSpot Asana Slack GetAccept and Linked.
- Experience with advanced email management tools (e.g. Superhuman).
- Strong typing and formatting skills.
- Excellent notetaking and summarization abilities.
- Proven experience in calendar management and scheduling.
- Familiarity with CRM systems and esignature processes.
- Strong attention to detail and ability to maintain confidentiality.
- Excellent written and verbal communication skills.
- Ability to work independently and manage multiple priorities.
- Minimum of 5 years of experience in an executive assistant or similar role.
Preferred Qualification:
- Experience in the tech industry particularly with AI or SaaS companies.
- Knowledge of sales and customer success processes.
- Familiarity with marketing automation tools and campaigns.

Setup and Location: WFH
Work Schedule: 8:00AM to 5:00PM (US PST) 12:00AM to 9:00AM (PH)

Requirements/Skills Needed: Bachelor s degree in Information Technology, Computer Science, or a related field. At least 5+ years of experience in IT support, with at least 3+ years in a Level 2 or Level 3 roel within the Australian IT Services sector.
