JOB SUMMARY
The Front Office Patient Coordinator plays a vital role in ensuring a seamless and welcoming experience for patients across two locations. This position involves greeting patients managing phone calls and coordinating appointments with professionalism and efficiency. The coordinator is responsible for handling patient inquiries scheduling and cancellations ensuring that all interactions are conducted with a high level of customer service. Additionally the role includes assisting with financial consultations and arrangements before procedures following a structured process for new patient intake and maintaining accurate patient records. The coordinator will work collaboratively with the dental team to uphold the practices high standards of patient care. Flexibility and adaptability are essential as the coordinator will be required to work across both the Redwood City and Pleasanton locations ensuring consistent service delivery. ESSENTIAL DUTIES AND RESPONSIBILITIES
- Patient Interaction: Greet patients warmly and ensure a welcoming atmosphere in the dental office. This involves making patients feel comfortable and valued from the moment they enter the office.
- Phone Management: Answer phone calls professionally manage inquiries and handle scheduling and cancellations. This duty requires excellent communication skills and the ability to multitask effectively.
- Appointment Coordination: Schedule patient appointments efficiently ensuring optimal use of the dental offices time and resources. This involves coordinating with dental staff to manage the office calendar.
- Patient CheckIn and CheckOut: Manage the checkin and checkout process ensuring all necessary paperwork is completed and filed correctly. This includes verifying patient information and processing payments.
- Financial Arrangements: Assist with consultation on fees and financial arrangements before procedures ensuring patients understand their financial responsibilities. This requires knowledge of the offices billing procedures and insurance policies.
- Training and Development: Participate in training sessions to stay updated on office procedures and improve patient interaction skills. This ensures that the coordinator is wellprepared to handle various scenarios in the office.
- Process Adherence: Follow established office procedures for new patient intake including greeting clinical assessments and financial planning. This ensures consistency and quality in patient care.
- Communication: Maintain clear and effective communication with the dental team to ensure smooth operations and patient satisfaction. This involves relaying important information and updates to the team.
- Record Keeping: Ensure accurate and timely entry of patient information into the office management system. This is crucial for maintaining uptodate patient records and facilitating efficient office operations.
- Customer Service: Provide exceptional customer service addressing patient concerns and ensuring a positive experience at the practice. This involves being attentive to patient needs and resolving any issues promptly.

QUALIFICATIONS
- Education Background:
- Associated Degree or Equivalent Experience Preferred
- Additional coursework or certification in office administration or a related field is a plus.
