Position Overview:
We are seeking a Property Operations Virtual istant (Operations Manager) to oversee our operations and ensure seamless management of our Airbnb properties. The ideal candidate will have extensive experience in managing property operations including guest communication maintenance tracking and team oversight. This role requires a highly organized and proactive individual capable of working autonomously and leading a team to maintain high service standards.
Key Responsibilities:
- Guest Communication: Manage all guest interactions including inquiries bookings and issue resolution ensuring rapid response times.
- Maintenance Tracking: Coordinate and track all maintenance requests ensuring timely and effective handling.
- Coordination with Building Staff: Serve as the main point of contact between the business and building management ensuring smooth operations.
- Cleaning Team Oversight: Fully manage the cleaning team including scheduling performance monitoring and adherence to quality standards.
- Price Updates: Adjust pricing strategies to optimize occupancy and revenue.
- Unit Setup: Oversee the setup of new units including managing furniture purchases and coordinating with setup crews and photographers.
- Full Operations Management: Handle all operational aspects from AZ ensuring strict adherence to SOPs and optimizing processes.
Critical Focus:
- Team Oversight: Actively oversee the existing VA team to ensure prompt and efficient communication both internally and with guests.
- Immediate Response: Ensure that all team members are hyperresponsive with response times to inquiries and communications kept under 1 minute during oncall hours.
Requirements:
- Experience: Must have Airbnb Case Manager Level 2 or higher experience and a strong background in managing operations with 35 units or ideally 100 units.
- Technical Ss: Proficiency in Property Management Systems (PMS) like Hospitable pricing tools and familiarity with Slack Gmail and Monday.com or similar platforms.
- Language: Fluent in English with excellent communication ss.

- Highly Organized and DetailOriented: Exceptional attention to detail in team management and guest interactions.
- Team Leadership: Excel in training overseeing and managing the VA team to meet required response times and service standards.

- Key Focus: Significantly reduce response times internally and externally ensuring all communication is prompt and professional.
- Review Frequency: Weekly performance evaluations focusing on communication speed adherence to SOPs and overall operational efficiency.
- Escalation Protocol: Escalate only critical emergencies that require immediate intervention.
Reporting Structure:
- Reports directly to the user.
- Directly manages a team of three VAs ensuring high levels of communication efficiency and guest satisfaction.
- Growth Opportunities: Potential to expand the team and take on additional responsibilities as the business grows.
Probation and Onboarding:
- Probation Period: 6 months with continuous feedback and access to full SOPs.
- Onboarding: Immediate integration into current operations with a focus on correcting existing communication delays.
