Job Description

Roles and responsibilities

  • Team Supervision: Lead and manage the receiving team, ensuring that tasks are completed efficiently, safely, and accurately. This includes scheduling, assigning tasks, and monitoring performance.
  • Training and Development: Provide training to new receiving team members on company policies, safety protocols, and equipment use. Encourage ongoing development to improve the team’s skills and knowledge.
  • Performance Evaluation: Conduct regular performance evaluations of receiving staff, providing feedback and setting goals for improvement. Address performance issues promptly and professionally.

4. Ensuring Compliance with Safety and Regulatory Standards

  • Safety Protocols: Ensure that all receiving operations follow workplace safety regulations, including proper lifting techniques, handling of hazardous materials, and the use of personal protective equipment (PPE).
  • Regulatory Compliance: Ensure that the receiving process complies with legal and industry standards, such as health and safety regulations, environmental requirements, and other regulatory guidelines.
  • Hazardous Materials Handling: If applicable, oversee the proper handling and documentation of hazardous or perishable goods to ensure safe storage and transportation.

5. Managing Returns and Claims

  • Return Process: Oversee the return of damaged or incorrect goods to suppliers or vendors. This involves coordinating with the procurement or purchasing department to process returns and ensure proper documentation.
  • Claims Management: Handle any claims related to shipping errors, damages, or shortages by liaising with vendors or suppliers and ensuring timely resolution.

6. Coordination and Communication

  • Vendor and Supplier Coordination: Communicate with vendors and suppliers to resolve delivery issues, delays, or discrepancies. Ensure that all incoming goods meet quality standards and are delivered on time.
  • Interdepartmental Communication: Collaborate with other departments (e.g., purchasing, inventory control, and logistics) to coordinate the flow of goods and ensure smooth operations.
  • Reporting: Provide regular reports on receiving operations, inventory levels, and any issues related to shipments or deliveries. Share updates with warehouse managers, purchasing departments, or other stakeholders.

7. Process Improvement

  • Identifying Inefficiencies: Identify areas for improvement within the receiving process and implement strategies to increase efficiency and accuracy.
  • Implementing Best Practices: Develop and implement best practices for receiving operations, ensuring processes are streamlined and cost-effective.
  • Technology Utilization: Leverage technology (e.g., inventory management software, barcode systems) to improve tracking, record-keeping, and overall efficiency in the receiving process.

  • Time Management: Ability to prioritize tasks and manage the receiving process efficiently, especially during busy periods with high volumes of incoming shipments.
  • Technology Proficiency: Familiarity with warehouse management systems (WMS), barcode scanning, inventory software, and other tools used to track and manage inventory.
  • Physical Stamina: The role may require lifting and moving goods, as well as standing for long periods, so physical stamina and strength are beneficial.
