Job Title: Executive Assistant to the Executive Director
An exciting Remote based opportunity for our prestigious UK client.
Overview:
We are seeking a dedicated and efficient Executive Assistant to provide comprehensive secretarial and administrative support to the Executive Director. This role involves managing a wide range of supportbased functions and ensuring smooth coordination across various tasks and responsibilities.
Key Responsibilities:
- Calendar & Scheduling:
Organize and maintain calendars schedules and appointments. Manage daytoday meetings and ensure seamless coordination. - Travel Management:
Arrange and oversee frequent domestic and international travel including bookings reservations and detailed itinerary preparation. Liaise with internal and external contacts for seamless travel logistics. - Task Tracking:
Monitor commitments actionable items agendas and deadlines. Provide regular updates to ensure tasks are completed on time. - Record Management:
Maintain records of correspondence and business dealings for future reference. Handle filing archiving and documentation of critical sensitive or confidential materials. - Documentation & Presentations:
Manage and prepare reports presentations and meeting materials. Collect and organize information for meetings and maintain updated contact lists. - Communication & Coordination:
Act as the primary point of contact for internal and external communications including highly confidential matters. Screen and route emails and calls respond to actionable items and ensure accurate communication delivery. - Expense Management:
Process and track expenses financial reports and credit card statements as per organizational requirements. - Stakeholder Coordination:
Organize appointments bookings and reservations with relevant stakeholders. Provide assistance with personal logistics as needed.
Requirements:
- Experience:
- Minimum 5 years experience as an Executive/Personal Assistant supporting Csuite executives (e.g. CEO MD President/Vice President).
- Familiarity with handling boardlevel information and documentation.
- Skills:
- Exceptional English verbal and written communication skills.
- Advanced proficiency in Microsoft Outlook PowerPoint Word and Excel along with comfort using online tools.
- Strong organizational and multitasking abilities with a keen eye for detail.
- Demonstrated ability to work proactively and independently taking ownership of tasks.
- Qualities:
- High resilience adaptability and capability to work in a fastpaced environment.
- Excellent interpersonal and team collaboration skills.
- Ability to maintain discretion and handle highly sensitive information with judgment and confidentiality.
- Strong leadership skills to build trust and credibility.
