Summary:
We are looking for an organized and professional Virtual Assistant to handle all communications with the company from a remote position. The virtual assistants responsibilities will also include managing corporate schedules making travel plans and issuing invoices.
Key Responsibilities
- Answer screen and return phone calls in a professional manner.
- Coordinate calendar management tasks such as scheduling meetings rescheduling and confirming meetings.
- Take care of email management duties and update contact lists when necessary including writing proofreading and sending emails.
- Book and confirm accommodations logistics and travel arrangements as needed.
- Perform additional administrative tasks such as online research and data entry.
- Anticipates needs prior to meetings conferences etc.
- Uses a project management tool to keep all projects organized and track progress.
Requirements
Skills Qualifications and Experience Requirements
- Graduate of any bachelor s degree preferably in a Communication Marketing or Administration field.
- At least 3 years of relevant experience and well versed in communicating with CLevel Executives inside the organization. Experience in handling crossfunctional projects is preferable.
- Have experience overseeing business from a high level acting as a liaison to the Executive with involvement/insight on the activities within each department.
- Naturally organized with handson experience with project management tools.
- Excellent at creating reports that are straightforward and easy to understand.
- Excellent interpersonal skills; able to get along with a team and work with diverse groups.
- Active and clear communicator to make sure project stakeholders are always in the loop.
- Effective communicator to make sure people know what you mean and avoid loss of time through miscommunications.
- Advanced skill set in time management and task prioritization.
- Enthusiastic and proactive approach with strong attention to detail.
- Ability to complete a high volume of tasks independently with little or no supervision.
